Subject: Conference Proceedings
Author: mn (New User)
Date: 06-02-2008 04:53 PM
Hi, I'm a new RefMan user, I've been using it the last month and when making references for Conference Proceedings I'm not getting the results I want. I'm using the Vancouver output style and I've been told we have never done any modifications to any output styles (something we are rethinking now!). My output style (Vancouver) is as follows: <[04]·Authors>.|·<[03]·Title>.|·<[23]·Series·Title>;|·<[28]·Date·of·Conf>;|·<[32]·Address>.|·<[16]·Pub·Place>|:·<[17]·Publisher>;|·<[05]·Pub·Date>|·<Page·Numbers>|.|¬ Ref·ID:·<[02]·Ref·ID>|¬ Reprint:·<[08]·Reprint>|¬ Keywords:·<[07]·Keywords>|¬ Abstract:·<[25]·Abstract>|¬ Notes:·<[06]·Notes> I have some questions I hope you can help me with: Even when putting information in all the above fields I never get the Ref. ID, Reprint, Keywords, Abstract and Notes information. Why is that? The field |·<[05]·Pub·Date>| is missing the punctuation. Is it by default that way or should I assume someone has been messing around with our Vancouver output style? Shouldn't the Conference Title and the Proceedings Title information be included in the output? Is there a way to compare the original output style with the one I'm using? In other words: How can I know if someone has been making changes in our output style? I hope you can help me with that. As I said I'm a new RefMan user and although I've already done all the available training I still need help. Best regards, Maria

I had a similar problem on a non-network version of RM11. When I removed the "file://" that RefMan inserts in front of the path it seems to work okay. I don't know if this would work for you or what it would do to all of the other users where it works okay.

Hello Maria, To answer your questions... 1) The Ref ID, Reprint, Keywords, Abstract, and Notes fields are "optional" fields. These will need to be turned on in the Layout tab under the Generate Bibliography function of the Reference Manager tools in Word. 2) The PubDate field's punctuation may indeed be missing. Though we try to make sure that our styles are 100% correct, it may be that the punctuation may need to be added manually to the style to make it correct. 3) It would seem to make sense that Conference and Proceedings Titles should be included instead of the "Series Title". Again, this should be relatively simple to correct in the style itself. 4) Considering that the issues you describe also appear to be the same on my end, it seems less likely that someone's been monkeying with your style than the style is simply not quite up-to-snuff. There should be comprehensive information on modifying and creating styles in the "Bibliographic Styles" chapter of the Reference Manager manual (available in the Reference Manager group in your Start Menu). Thanks,

Dear Rick we are getting requests and feedback from users about the use of DOI (Digital Object identifiers) in their records. People are wanting this data to pull through into their Reference Manager record as they are increasingly aware of the value of this data (that it will enable them to retrieve the document again irrespective of whether the URL/website has changed). We realise that this is also something that data providers need to facilitate but we noticed that there is a DOi in PubMed/Medline records now but this doesn't export to Ref Man - could it be added to the ovidweb.cap filter and other filters to faciliate this? Our users want to know why this piece of data doesn't pull through into the record as it is so important - could Thomson make a point of updating the import filters included with the next version of Reference Manager to include the DOI/Article identifer field, as it is likely many bibliographic databases have added this field since the last upgrade and the digital landscape is such that DOI's are now being used and understood much more and this would bring added value for users - this is certainly the feedback we are getting Best wishes Rosalind McNally (Librarian, NPCRDC) and Mary Ingram (Librarian, ARC)

I have been successful in creating CSV files for my RM11 database. I do notice at the end of the text in the title field, there is a number, which looks like it is the RefID in most cases. Is there a way that this can be eliminated in the creation of the CSV file? My database is quite large and it would be tedious to go through it manually to delete the number. Obviously I cannot delete the RefID as a field. Thanks. Verna.

Some (but alas not all) of the direct export downloads from journal publishers provide the doi in a form that appears in the RM doi field, others in the notes field. It would be very nice to have an import filter that pulls in the doi string from the Medline / PubMed interface. I've tried unsuccessfully to add this to some of the existing filters.

Hello, Did you verify that the references with this issue do not have the RefID appearing at the end of the title? If you have Refernece Mnager configured to display the Field Numbers, "View > Field Numbers", and copy between databases you can have the RefID appended to the title.

Recently I installed Office 2007 (including Word 2007) on my computer. This had the drawback of not being able to use the cit while you wright function of Reference Manager. I did all the steps suggested by the support website of reference manager, and thus manually copying the CWYW files to the startup folder of microsoft word. Yet, this didn't help. I was able to get the toolbar at the lint with the add-in button. But the CWYW function does not work. Neither works it via Tools of reference manager. Can somebody help me? Thank you very much! Hello, If you are able to see the tools for Reference Manager in Word but they do nothing when you click on them, you may have a conflicting add-in installed. We have a FAQ explaining which add-ins are known to conflict with Reference Manager, and how to remove them. The FAQ can found at: http://www.refman.com/support/faqs/CWYW/faq3.asp

We are currently having an issue when we import a new reference. We know RefMan can automatically assign a 'Ref ID', however, in numerous cases, the assigned numbers are skipping. (ie, 11563, 11564, 11568....). Does anyone know what causes this and if so, is there a solution other than manually backtracking and filling in 'holes?'

The ID are autoamtically assigned and never are repeated, even if you delete a reference, the ID number of that reference is never used again. That is: if you create 4 references, the ids would be 1,2,3 and 4. If you delete the reference 2 and add a new reference, the ids would be: 1,3,4 and 5

I agree. We need a "Change Case" to UPPERCASE, lowercase, Title Case. It is very time consuming to edit the entries when you import references froa a sevice that uses UPERCASES for the AUTHORS names or article titles or journal names.

I am trying to print the citations of all of the references in my database so that I can proofread them and check for errors. Unfortunately, Reference Manager only prints the first 3 1/2 pages of references when I have well over 800 references in my database. I have tried using different output styles as well as both saving the references in a file and sending them straight to the printer with no luck. I would appreciate any advice that this forum has to offer. Thanks in advance!

It is very time consuming to edit the entries when you import references froa a sevice that uses UPERCASES for the AUTHORS names or article titles or journal names. Yes! However, although I agree with this suggestion, the problem I have is a bit different. If one or two characters of an author's name or a periodical's name has been entered in the wrong case it is currently impossible to correct it. After correcting the term to the proper case saving the entry doesn't keep the change. This is a bug more than a product suggestion.

Actually, that's not entirely true. If you use the "Rebuild Database" command, those unused Reference ID's will be made available for re-use. Please make sure you have a backup copy of the database before using that command though. At that point, if need be, you can go back and fill in the holes in the ID list.

Hi, I've noticed in the last 3-4 weeks something weird happens when I download records from PubMed. This is how I do: RefMan>Search>Internet Search (PubMed)>UID field>Parameter #>Search>Copy between databases (Please see attachment with one example of how the record looks in RefMan once copied to my database (I couldn't insert an attachment because the forum system doesn't allow image-files!)) In the title field a number appears after the article title in a second line of the field (some times even in the 3rd line), it has to be some kind of order number since today I downloaded 14 records and they all came with 1, 2, 3, ... in the 2nd line after the title. When I insert the reference into MS Word or an email I get the number there too! This is how the reference looks like once inserter in MS Word: Cowan DF, Curry BE. Histopathology of the Alarm Reaction in Small Odontocetes 1. J Comp Pathol 2008 Jun 12. Is it my database or your filter? Please advice, mn

I was not able to reproduce the problem. I use the RM 11.1 Internet Search (PubMed) direct download function several times a week. Could you have made any changes to your import filter? That said, I have had a similar issue with PubMed that doesn't involve Reference Manager. Every now and then something goes very wrong with the PubMed file download formatting for a few days. I use PubMed's export to XML file and sometimes the list item numbers get included in the download but not within the xml tags. From your description it seems as though the problem I have now and then when downloading PubMed records WITHOUT Reference Manager may also be happening for downloads other than the NLM's XML format. What version of RM are you using? What bib style are you using when you create a bibliography in Word?

Hi, I'm using RefMan 1.0.1 Professional Network Edition. I don't see the number when I download the record, it appears after I copy between databases. When I copy the record from the Source Reference List (Search #) to my Destination Database, there appears the number. I tried this morning to download from a Z39.50 site and there it was again after I copied to my database, so is not just PubMed. I guess it has to be a RefMan issue. I'm using Vancouver style to create the bibliography and as far as I know no changes have been done in any filters or styles. Thanks again, mn

Hello, You need to turn on the displaying of Field Numbers. In Reference Manager go to "View > Field Numbers". When Field Numbers is checked, copying references between databases can result in the RefID being added to the Title of a reference.

Hi Gregor Thinking about this - I haven't a clue what I'm doing but I had a filter for Wiley Cochrane database and it seems to work okay for "export citation" from Wiley Interscience journal articles. The only problem is all the fields have tags which are 2 capital letters apart from "DOI" which is three, so it thinks the DOI is part of the Address field and puts it in there. I can't think of how to change this - here is it - let me know how you go on or if there is anything I could do to improve this. Regards Rosalind

Can I make hyperlinked citations in an automatic way so I can click in the in-text-citation and go to the reference list citation? I know I can make all these changes in Word but I would like to do it in RefMan so all my RefMan users don't need to be doing editing jobs when doing their writing. That's all for now, thanks in advance! MN

Hello, You most likely have the Reference Manager 11 add-in files still loading in your Word startup folder. You'll want to remove these Reference Manager 11 files from the Word startup folder itself. The default path for this folder on Windows XP is: C:\Documents and Settings\[Your User Name]\Application Data\Microsoft\Word\Startup For Windows Vista, the Word startup folder path should be: C:\Users\[Your User Name]\AppData\Roaming\Microsoft\Word\STARTUP. If you navigate to this folder, are you able to find any RM11 files stored within? If you see any labeled with RM11, I'd suggest dragging the file to your Recycle Bin. Afterwards, open Word again and check to see if you're still able to find the Reference Manager 11 Cite While You Write commands. Greetings MN, Unfortunately, Reference Manager is not able to control the text color of in-text citations, footnotes/endnotes, or the bibliography. Additionally, Reference Manager is not able to create hyperlinked citations that would transport you to the entry within your reference list. Both of formatting aspects can be achieved through Word functionality, however, you'd only want to apply these changes after the final formatting of your Word document. If you were to make these changes and then insert a new reference, or run Generate Bibliography again, these manual edits created through Word would be lost. I have added your suggestion for this type of functionality. If you'd like to submit any other suggestions, feel free to do so through our suggestions webform- http://refman.com/rmsuggest.asp. Hi! I have currently two problems with my Reference manager: The first question is how can I justify my reference list? I tried justifying after editing but when something is changing in my reference list, it is returning back to the left and I have to justify it again, and again and again. Is it possible to enter it somehow in the reference list output? My second problem is the size of the reference title which is the same as the reference list itself and I would like to get it in bold or bigger as the reference list itself. Again, when I add a citation, it is returning to normal... Thanks in advance for your help, JS

Hi - I'm new to Reference Manager and am noticing some issues when trying to format APA style. Are the following bugs in the Reference Manager program? Or, is there a way to get around them? If references are imported through PubMed the journal articles are in MLA format - if they are cited in a paper using APA format, the journal titles are incorrect and (from what I can tell) need to be manually edited Reference Manager seems to completely disregard the APA rules around when and how to use et. al. when doing intext citations (again resulting in needing to manually make changes -- which kind of negates the use of RM to begin with...) Thanks for any suggestions you can offer!

Hello everybody! Has anyone experience in importing patent information for RefMan? I would like to know, for example, which databank are available, how should be the process and if there is any specific filter for it. Thank you very much (I hope I have more success than some other messages I have seen here with 0 replies!)

Enterprise Content Management (ECM) is no longer just about technology, or just about content. It is about content, community, and context. The deluge of data and information, coupled with the ever-increasing need for compliance is forcing enterprises to take a strategic look at ECM and its associated disciplines. To stack up to competition, enterprises are looking up to faster, flexible, and efficient business processes that can channelise copious, unstructured information into meaningfully optimised, governed, and digitally delivered data that is available to the right stakeholders at the right time. C-level executives, senior IT process management personnel, marketing and content managers are looking to find the precise solution that will fit the needs of their organization. What are these available solutions, and how do they stack up to the needs of a specific enterprise? What roles do strategic topics such as Governance, Collaboration, Enterprise 2.0 play in the evaluation of these solutions? What is a promising approach, and how do I find the correct partners? The ECM track at Business Technology Summit 2008 offers strategic, technical, and business insights into all aspects of ECM, including Business Process Management (BPM), Business Rules Management (BRM), Master Data Management (MDM), Data Warehousing & Knowledge Management, and Enterprise 2.0. The summit will be held 22-26 September 2008 in Mumbai and Bangalore. Summit website: http://www.btsummit.com

Hello, After the bibliography is generated cut and paste it to the location in the document where you want it. Then as long as the document remains formatted the bibliography will remain where you pasted it.

I know that it is possible to import references from a SciFinder saved set, however, according to the SciFinder support pages you need to save to a tagged file. Do I need to define a custom filter in order to import the resulting tagged file? It seems to place all of the information into the notes field. Does anybody have an easy step-by-step that they can share, or a filter that they have defined already? Thank you in advance, DMCrammer

Just a point of information: I am currently preparing a manuscript for a journal which expressedly requests the inclusion of Doi as part of the reference where possible (see URL for author instruction). I have been a loyal RefMan user for almost a decade. Unfortunately, however, as journals are now demanding this information, users such as myself will be forced to seek alternative software options if Reference Manager does not make it possible to comply with current standards. http://www3.interscience.wiley.com/journal/5669/home/ForAuthors.html Machelle Wilchesky, McGill University

Subject: Problems adding references to text boxes in Word2007
Author: bcosta (New User)
Date: 08-24-2008 08:58 PM
I have been experiencing problems when I try to add references to text boxes in my Microsoft Word document. Basically, I created text boxes where I added some figures. When I go to the figure legend (inside the text box), I am able to add one reference (using RM11), but I have problems when I try to add additional references (they just don't show up). I use the Generate Bibliography function to make sure the references are updates, but still the same problem. Do you have any explanation why this might be happening? Another not so urgent question I have is: Why do the references inside text boxes are renumbered to 1, 2... and so on. Basically, my first figure is in page 10, and even though I have dozens of references throughout pages 1-9 (numbered in order of appearance in the text), when I insert one reference in the text box in page 10, that reference is called Reference no. 1 (and all the other references before that one are renumbered accordingly). Any suggestions on how to keep the continuous counting, i.e., the reference inside the text box on page 10, would be numbered after all those that are in the normal text before it...? Sincerely, BC.

Finally got this figured out. It has to do with Internet Explorer settings. Even if you never use IE, open it and go to the File menu. Then make sure "work offline" is not selected. (My user had never even opened IE - it was a new computer- and apparently this was her problem, because it worked fine after just opening IE for the first time).

Hi there, Are there any utilities available to convert Reference Manager database? I can see that through the tool I can import/export from a bunch of different formats, but is this available through some tool that I could access programmatically? (either through an API or just as a command-line utility). The reason I would like to do that is that our team of writers currently use Reference Manager. There is a neat visualization tool that I would like to introduce, but it only understand Bibtex database format. So, I would like to keep our Reference Manager as the master database and have a little program that takes that database and converts it to bibtex format. I am programmer, so I can do the automation part, but I don't know what options I have for getting at the references locked up in our Reference Manager database. Thanks, Andy

Author: dwl-sdca (Enthusiast)

The version of PERL (5.8.2.808) that is shipped with RM 11 is listed as dangerously insecure by several security rating entities. I have received an alert that this is about to be listed by my university as a threat to the network and will not be allowed on any client computer. It is in the \WebPublisher\thirdparty\Perl\ subdirectory. I do not use Web Publisher so I thought that I would uninstall that version but upon restarting RM, the program goes through a "configuring" process and reinstalls the same version of PERL. I have a newer secure version of PERL installed andit is referenced in the proper place in the path statement. Nonetheless, RM seems to be designed to not look in the path for PERL but to demand its own version in a subdirectory of RM. Is there a way around this problem. If I need to remove RM to meet security requirements this problem will become a crisis. Thanks

Has anyone had any success using travelling libraries in RefMan? I've searched this forum but can't find anything. The issue is that whenever a travelling library is generated for a document, each subsequent citation is treated as a new entry, so you end up with multiple occurrences of a single reference in a bibliography. The travelling library generated from the document also won't recognise these multiple entries as duplicates so the only way to deal with it is to manually hack the reference ID in the field codes (which when you have 427 references gets a little tiresome). I've searched on the Adept forums and this seems to have been a known issue since 2005. Are there any plans to fix it? Thanks Jackie
