What do you do if there is no publication date?

We are trying to enter records into Reference Manager 11 for several
items. Unfortunately, many of the items do not have a publication date
since they are draft versions or working papers (20-30 years old with no
date on them). Since the date field is required in either the YYYY or
the MM/DD/YYYY format, we are unable to save the record. We have tried
to utilize the "Other" portion of the date field by entering "n.d." or
"no date," but this also required a date to be entered in the field.
Has anyone else had this problem? If so, what did you do to solve it,
or is there no solution?

I can only offer what I know in Refman9. Refman11 is likely to have its
equivalent setting.

If a report remains at a draft stage I would treat it as a report.

Go to Tool-->Filed and Type Edit..--> select Report -> de-select Date,
primary in M (for mandatory) col ->click OK
The date of publication for Report Type becomes optional.

Just open your database in read-write exclusive (if a networked
version). Use Tools>Field and Type Edit and de-select the mandatory
check box for the Primary Date Field [05].

You may still want to record some estimated date in your OTHER field
e.g., [1980?] or something similar.

Why not use a pre-designated year that signifies the unknown, like 1600?

Rosemary,
Open your database in read-write exclusive mode. Then go to Tools, Field
and Type Edit. Under field Label Edit remove the tick under the M
against Date, Primary. Click on the button labelled: 'Update field for
All Types'
Click on OK.


Once thats done you will be able to have blank dates..

How about creating a dummy year that will be unlikely to occur - e.g.,
1000 or 2099?

I just dated items with no publication date as 1900. You can always
correct it in your manuscript if you want to refer to it, and it is easy
to retrieve all these records.

Go into TOOLS, FIELD and TYPE EDIT, and then uncheck the publication
date that is currently checked as mandatory. You have to make sure that
you have opened the database as READ/WRITE EXCLUSIVE and that you are in
the right TYPE of reference (ie REPORT, ABSTRACT, etc.)

I use version 11 too, but the solution may differ in earlier versions of
RM.

1) Select from the Menu: Tools, Field and Type Edit

2) The left hand column, entitled "Reference Type Edit, lists all of the
reference types available, and gives you the opportunity to select those
you wish to include in your database by checking the box beside them.
The reference type that you wish to edit should be highlighted (or
selected from the pull down menu at top right); for instance, I do not
have date as a mandatory field in the "Unpublished Work" Reference Type.
However, you can select any other type or types from which you wish to
remove mandatory dating (or any other mandatory field come to that).
The only caveat here is that Ref Man defaults to a "Generic" field type
unless a field type has been explicitly defined in your output style.
This means that unless you make a change holus bolus (for all undefined
types) using the "Generic" definition, you may have to define specific
fields yourself (this has been the subject of discussion before on this
list (Menu: Tools, Bibliography, Open Output Style, Bibliography Tab,
then consult context sensitive Help)).

3) The right hand column, entitled "Field Label Edit", lists all of the
field labels that have been checked for I(nclusion) within that
Reference Type. You should uncheck the other box, which indicates to
Ref Man the
M(andatory) fields that must be filled out, against the "Date, Primary"
field.

Note that for this to work you must first open your data base with full
access permission rights (Menu: File, Open Data Base, and ensure that
you select the "Read-Write Exclusive" option in the pull down selection
field in the bottom left corner). This is a damned annoying thing that
must be done every time you want to edit terms etc. in Version 11. If
you fail to do this, the "Field and Type Edit" menu selection will be
greyed out.
Hopefully, some option to retain the permission rights selected will be
offered in Version 12.

The replies from various other people have indicated the "proper" RM
solution which means that you don't need to put in a publication date. I
would be inclined to put something in that area to give an idea of when
the draft/working paper was produced - after all, they will gradually
lose their "currency" - but maybe you will put something in another
field which would help. I hadn't realised the proper solution, so I've
usually put in a guessed date and then put a note somewhere in one of
the other sections to explain the date problem.

Rosemary,

In Read-Write Exclusive mode, you also have the option of 'unchecking'
Mandatory/Included fields.

Under Tools, Field and Type Edit, select the type of reference(s) from
the pull-down menu and then 'uncheck' the M and I columns for Date,
primary.
