I have a number of incorrectly entered terms in the my RM11.0 Keywords
dictionary that I would like to clean up and redo.
I can find them messed up terms using the Term Manager, and use Quick
Retrieval to pull up the record where the offending terms are, but I
cannot figure out how to update the dictrionary.
Even after I remove the offending terms from the Keyword field of the
record where they were originally entered, they do not disappear from
the Term List of the Term Manager.
How do I make them disappear?

Go to TOOLS, then TERM MANAGER, then select ACTIVATE.
Here you will find three tabs: Keyword, Author, and Periodical; these
are the indexed fields in Reference Manager. Click on the Keyword tab
and then perform your edit/change to the selected term(s). Once you
save and close that process, the terms you've deleted will be gone and
any terms edited will permanently display the change you have made.

Dear John
I use RM10, but it may be similar in RM10.
- Open the database in Read-Write exclusive (see Databse rights in the Open window)
- Use Term manager/activate
- Select the Term you want to delete
- Right click Purge, then Yes to remove Term from the dictionnary Yes to All will remove all dead Terms fromt he dictionnary

John,
You have to open the database in read-write exclusive mode, choose
tools/term manager/activate, then keywords, then tools/term
manager/purge
The program will scroll through deleting each keyword that isn't used
anymore allowing you to choose yes or yes to all.
BUT MAKE A COPY OF YOU DATABASE FIRST. Sometimes when you choose 'yes to
all' the program will either crash or take so long that you end up
terminating it. Then sometimes the term list you are working on will be
corrupted. This seems particularly bad when trying to get rid of unused
journals.

If you open your database in read-write exclusive mode (in case of a
network version) you will be able to "purge" the list (Term Manager /
Purge) of any Keywords, Authors or Journal Names which are not in use

-- file
-- open database
-- acess rights exclusiv !!! important
SECOND: Tools + Term manager activate
THIRD: Mark one unwanted term
Forth: use GLOBAL EDIT to eliminate this term
Fifth: happy repeating :-))

Dear John,
I've also got some of those. They are keywords from ˙ up to ˙˙˙˙˙˙˙˙˙˙ and are in references which have lost an author at some point. If I try and global edit them out then I will get the message:- "Database error (12031) has occurred whilst attempting to access this database"
My concerns are that these keywords will multiply and also that part of the database (Refman v11.0.1) has an error, even though a very recent rebuild showed none.
Has anyone any ideas?

To edit the term list in Reference Manager 11, you first have to open
the database in read-write exclusive mode.
Then pick tools - term manager - activate.
This gets you into the term manager editing screen - but unless you are
in read-write exclusive all the buttons will be "greyed out".
>From here you can do a variety of editing on the term list. To simply
remove all keywords that are no longer attached to a reference, pick
"tools - term manager" again, then pick the option "purge" and the
program will check for unused items (journal, author or keyword) and
remove them.
This is also the place to edit journal abbreviations and author names to
make them synonyms, so the abbreviations and full names get the same
search results. (I also edit double-barrelled names as synonyms, and
have made English and American spellings of keywords synonyms.)

Hello,
This is easy to rectify. You need to be in read-write exclusive mode when you open the database.
To change one term to another highlight the term you want to change, right click and click on global edit. Enter the new term in the 2nd box and click OK c- whether this is an existing term in the list or a completely new one. It should also delete the old term from the list automatically.
But I've noticed that sometimes the term remains in the list. Just highlight it, right click and click on Purge then OK. RM will remove terms that are in the list but have no records using it.
We use the synonyms function with care as we do not want to link too many terms together but where used judiciously (often for corporate authors who have changed names) it is very helpful.
We sometimes get the error message using v 11.0.1 but just ignore it and it is not a problem.
