I wonder if anyone knows of a way within ProCite 5 of **copying** the
contents of one field into another within the same record.
A partial solution involves exporting as Tab delimited text, importing this
into say Excel and then copying the required field into a new field and then
re-importing into ProCite. But then you loose bold, italic superscript etc
etc.
I have about 30 thousand records to edit.

After moving (Database, Edit Marked records, Global Move Field), you can
delete the "moved field" content via Database, Edit Marked records, Global
Edit. Choose the CHANGE option "Clear the entire Field". It's a 2-step
action, but the result is the same.

Since ProCite is a Windows application, a simple COPY (CTLL+C) and PASTE
(CTRL+V) would do what you want to do. See information included in the
online Help of ProCite
"You can copy text within or between applications by using the clipboard.
Select the text to be copied and use either the Edit menu Copy and Paste
commands, the buttons on the toolbar, or the equivalent keyboard shortcuts."

I believe ctrl-c and ctrl-v is just fine for one or perhaps 20 records.
However, for 20,000 records, ctrl-v and ctrl-c would cause repetitive strain
injury ;).

Hi Dr. Stanley. I think that your problem is 30.000 changes and you intend to
do asap. The only way that we know is one by one. copy and paste. It's a huge
task, lots of hours. By the way, I'm doing bibliographic databank and wanna
make one CD-Rom to publish. In the past I used Procite 3.2 read only. I upgrade
to Procite 5 and the new version do not permit read only version. I need some

COPY the contents of one field (say # 30) into another field (say #32 which

In this way I wish to finish up with each marked record having both these
fields (original #30 and target #32) with exactly the same content.

Here's what I'd do. I'd export the selected records to a delimited file. Then I'd
use a great text editor such as TextPad (demo free at http://www.textpad.com) to
edit it. I'd write a macro to grab the information from the 32nd field and paste it
into the 33rd (whatever) field. Then import the modified delimited file into
ProCite.

I don't use Procite (so why am I here?) but how about something
like:
1. Export entire database as a tagged text (ascii) file
2. Read into a word processor and use a macro to insert a copy of
the required field
3. Import the file back into Procite
Step 2. could also be achieved with a small text processing program
(PERL, VisualBasic etc.) or by manipulation in a spreadsheet. Of
course, any fancy formatting that Procite allows will be lost!
I've recently been converting my old SCIMATE database to RefManager
which has required a lot of messing about...

C'mon guys, are you seriously suggesting that Dr. Stanley Ctrl+C and Ctrl+V
20,000 records? That is ludicrous! I just did exactly what Dr. Stanley
wants to do in less than 5 minutes on my computer.
1. Simply export the all the marked records in comma delimited format
(Procite's default setting) as a text file.
2. Open the text file in Excel Follow Excel's prompts to format it correctly
(Comma delimited).
3. Copy the portion of the column (should be below the workform information)
and paste it where you want (It is easier than it sounds).
4. "Save As" choose a txt extension
5. Import into Procite (open the txt file in procite and choose where you
want it to go)
20,000 records copied
I hope this has helped. You DON'T need to Ctrl+C and Ctrl+V every record.
It is really a very easy thing to do. I copied the record ID field into the
Call number field and it worked fine. Now the same number is in both
fields.
Practice on a smaller database if you like.

Thanks to all for your helpful suggestions.
As I mentioned at the beginning of this thread my difficulty with exporting
say as an ASCI comma delimited, importing into Excel and duplicating the
column in question and re-exporting to ProCite is that one loses all the
bold and italic attributes on the first export. My database file has a large
number of plant names in Latin which by convention are given in italics.
I had thought of writing a style which allowed me to "export" the file as a
bibliography with bold and italic attributes intact. Then use a macro to
duplicate the field in question. Then re-import into a new ProCite database.
The problem here is that the final import does not recognise bold and italic
attributes.
Then I thought of using a macro to write an ASCI "begin tag" and "end tag"
for begin and end italic and bold. However as you will know there is no
Find and Replace in ProCite which allows one to insert a bold or italic
attribute.

|4. "Save As" choose a txt extension
|5. Import into Procite (open the txt file in procite and choose where you
|want it to go)

|20,000 records copied

|I hope this has helped. You DON'T need to Ctrl+C and Ctrl+V every record.

All,
This activity reminds me of my request to the group a month or so ago. I
have several free-text (almost) databases of several hundreds of records and
was looking for a way to edit and import these and, using the same
procedure, fix a bad import of a 1200- record database that had some fields
in error. My first thought was to export into ASCII, comma-delimited or
otherwise, edit, and re-import. All the ProCite people said not to do this,
and recommended doing everything inside ProCite.
Most of the recommendations for this large-file problem sound like they
would help me. However, I am still a little unsure of one aspect of that
problem. I believe the original query was worried about losing special
formatting, and the export/re-import suggestions so far still lose this,
don't they?

The rub here is that any method involving comma delimited export is not
acceptable to Dr. Stanley as a means of duplicating the field because the
ProCite comma delimited export routine strips out typographical styles. If the
style indicators could be found and replaced with unique text strings to
indicate start italics and stop italics, text export, manipulation and text
import would solve the problem at hand.

I have no solutions to your problem, Philip, but in reading all the messages
that have gone back and forth on this topic, I've become curious about why
you need to have the same info in two different fields? This is, of course,
really none of my business, but if you're willing to share what it is you're
ultimately trying to accomplish, I'd be interested in hearing it.

Am I mistaken in thinking that ProCite's Output Styles contain the "tags" for text attributes such as bold and italic? If this text formatting is lost through the Export/Import via Excel procedure would it be regained via ProCite's bibliography output features? Or, might it be recovered through Global editing?

I am pleased to share with you my reason for having two fields with
duplicate contents.
I am producing a large index. One field will be kept intact with the full
citation and its duplicate will be edited to conform to the formatting
requirements of the index. The full citation is required to ensure that I
don't forget the details of the original citation!!!
Each citation is presently one field and volumes and pages are in other
fields. I have now completed entering all the citations. Unfortunately to
make an alphabetic listing in the format required for the index means that
many citations need to be modified. Thus I may have "Report, Secretary,
1900" thru' "Report, Secretary, 2000" and similarly "Report, Treasurer, 1900
etc. --- each set giving 101 citations. In the index the first one is:
"Report, Secretary, 1900" but the next one would be ", , 1901" thru ", ,
2000" and then
"Report, Treasurer, 1900" but the next one would be ", , 1901" thru ", ,
2000"
Keeping track of these editings is crucial to ensure accuracy. Having tried
to do this in a word processor I know just how easy it is to loose whole
citations or groups of citations -- I have tried it!!
The sequence of citations would initially be done by the Procite alphabetic
sequence. This database will then be re-numbered so I have a pre-index which
can be re-sorted by record number and subsequently handled in record number
sequence. The record number of any record can then be manipulated one at a
time to move individual records to specific places in the sequence as
needed. For example I might want to manually move "Report, Secretary,
Special Business Meeting, 1950" to a specific place in the sequence, e.g. at
the end of "Report, Secretary,....
Hope this helps to understand my need for duplicating a field.

Yes, certainly Output Styles does retain/permits insertion of attributes.
However import into ProCite looses attributes and there is no global edit
with enables their re-insertion by say Find & Replace.
