I only can get the (Author:Year) type of in text citation... how do you change that? At the same time I'm supposed to cite also some journal articles and a couple books, is it possible to tell Endnote to make differente In text citations for different types of references? (I'm using Endnote X) Any changes made to a Reference Type requires you make corresponding changes to the Output Style.    1. Go to the Endnote toolbar and select   EDIT, OUTPUT STYLES, then the name of the style you're using. 2. The style's dialogue box will appear and in the left column under Bibliography, select TEMPLATES.  3. You'll see the various reference type output formats listed.  Scroll down the list to locate "Newspaper Article".   4. Adjust the fields as needed to conform to the desired format.  Close the dialogue box when completed.   Double-check the results by looking at the Preview section of your library - if you need to readjust the template repeat steps #1-4.

Eh, well thanks. Maybe i didnt make myself clear enough. I've already changed the Bibliography part succesfully and with no problem by following similar steps to what you suggest. The Bibliography is perfectly fine, it is the actual IN TEXT citations that I cannot figure out how to change... yes, there is a similar menu related to that but it doesnt matter what i do it doesnt change the citation... for example:   Sanchez R. 2003 Melomanos y el sano vicio de la musica. En La Epoca, 29/06/2003, pp A6-A7, La Paz   will be cited as:   blah blah blah (Sanchez:2003) blah blah   instead of (La Epoca, 29/06/2003:A6-A7)   it's even worse if there is no author (as it commonly is the case of newspaper articles) where the only thing showed in the IN TEXT citation is a year. In that case the only thin i get IN TEXT is a year .. as blah (2003) blah...

Sorry for misreading your paper ... long night working on a long paper.   Have you tried manually editing the citation?  You'll be able to remove the author and insert the newspaper's title and other information as needed (using the "prefix" line).

Yeah, i've tried to do it manually, if it was just one or a couple references I wouldn't have a problem with it but its something around 115. I assume that people cite newspapers every once in a while.. hasn't anyone find a way to "properly" do this using Endnote?

Hi Leanne   Thanks for your answer. I am aware of the fact that I can type in: Ferlie, Fitzgerald, Wood, & Hawkins's {, 2005 #44} . However, I want the name of the authors to be flexible and follow the citation rule I choose. That is why I posted my question.   Regards

Doesn't  the reporter ever get recognized? Ahh, http://www.saa.org/Portals/0/SAA/Publications/StyleGuide/styleguide.pdf  I see that in the reference list, the requirements are shown below ---  which would suggest to me that the citation they describe applies to the nonauthored items, but that it would be sensible to treat authored items more like journals or books.  Otherwise, it would be very confusing matching the citation to the actual reference?  you might want to enquire before messing around with your styles and records to achieve something they don't really want.     3.9.12 Item in a newspaper When nonauthored items appear:Weekly Missouri Courier (WMC) [Palmyra, Missouri] 1838 [short description of what is being cited, e.g., "Advertisement placed by J. H. and A. A.Stirman."] 7 July:[page numbers, if paginated]. Palmyra, Missouri. When authored items appear: Noble, John W. 2002 When Humans Became Human. New York Times 26 February:D1, D5. New York.     When you do get to the question of how to address nonauthored items, I think some of the anonymous settings might be what you want, although I don't remember what is available in X in this regard.  There is this thread which discusses a bug - but might also have what you need.  Perhaps the bug didn't exist in X (perhaps it has been fixed in X3, who knows!)    http://community.thomsonreuters.com/ts/board/message?board.id=en-general&message.id=1064&query.id=445492#M1064   You can also check out some of the other "newspaper" threads.

I've never used Pages, but Donna Kirking has made a good short tutorial on it, which you can view from the X3 tutorials page on the EndNote website.   It shows you how to use footnote styles in Pages. It explains that you first have to use Insert>Footnote to create the footnote. Then use Insert>EndNote Citation to insert the reference in the footnote.

The reason why this question doesn't arise more often is that many style manuals follow the policy of the Chicago Manual of Style: "Unsigned newspaper articles or features are best dealt with in text or notes." In other words, you give the citation in the text, but it doesn't appear in the bibliography.   I know this doesn't solve your problem. Sorry.

New to Endnote?  Version 6?? at least 7 yr old software?     -- well, you can attach pdfs in EN6- to the "image" field if memory serves, but you are using unsupported software.  I suggest you upgrade to a more recent version.

Not easily accomplished, and other threads discuss some ways to accomplish.  Try     http://community.thomsonreuters.com/ts/board/message?board.id=en-files&message.id=784#M784   or   http://community.thomsonreuters.com/ts/board/message?board.id=en-howto&message.id=2473&query.id=450302#M2473   or   http://community.thomsonreuters.com/ts/board/message?board.id=en-howto&message.id=2556#M2556   or -- oh you get the idea...     It has also been discussed in some other some of the open source software forums, and hasn't been implemented there either....

Jason,   I'm sure you have mentioned this many times, in many threads. Unfortunately it is always a surprising, extraordinarily significant limitation for new users to discover.   It has been over a year since X2 was released, and proper EndNote-Pages integration is still vapour. As a result many of your customers find themselves unwilling or unable to switch to Pages (and hesitant to upgrade to X3 or beyond). Blame that on Apple if you'd like, or snarl at your customers for asking dumb questions. But until you guys get your act together and figure out a way to gain Apple's commitment to work with you on this, the bottom line is that your customers will continue to be frustrated and unhappy.   (Apologies if that sounds harsh, but it is the simple reality and I am getting tired of waiting.)

I second that. And even though I might be digressing from this thread: an implementation of EndNote in Mellel would be fantastic. Redlex's product is superior to Pages (let alone Mac Word) in many ways. I am sure you are aware of this. But anyway. The pure "scan rtf" is not really that great. It messes up formatting. And that's a deal breaker. I am talking about a true implementation as it exists in Mellel with Sente and Bookends.

Agreed.  I am working on my dissertation, which, by its nature, is going to have to go back and forth to multiple readers, some of whom do not own Macs, and is going to have to be *editable*, which includes being able to edit the references.  No one in the real world writes a first draft and doesn't edit it.  All of this functionality works fine in Word, with the version of X1 that I already spent perfectly good starving-student money on.  It's slow and clunky and buggy, but it does what I need it to do.   Word slows my system to a crawl, so I prefer to work in Pages.  We have been hearing lots and lots of hype about how great X3 will be and how it will work with Pages just like it works with Word, with CWYW and dynamic links to the EN database.  The student upgrade price is high enough to feel like I'm being asked to buy a whole new product, as if I weren't already a loyal user who just bought a product a year ago.   I've been a software user for, no kidding, almost thirty years.  So perhaps you'd think I was used to this runaround, the endless cycle of promises unkept and blame shifted.  And I am.  If I weren't trying to finish this dissertation in time to graduate in the spring, I would just sigh and say, "Oh, look, yet another company that cheaped out on the whole architecture process and didn't think about the needs of the end users and didn't set up the needed collaboration with other companies to ensure that integration would work, and keeps telling what it thinks is a captive audience that it's our fault for wanting something that was advertised and that the company has been successfully able to develop for another platform.    Yes, I've already made the requested feedback to Apple.  But that isn't my job.  I'm your customer.  And right now, I'm looking at a product that does not have the functionality I need, despite having been enthusiastically advertised as such.  I don't care whose fault that is. If you want my business, you'll make it work.

I can't comment on X1 as I have only been using X2, but since upgrading to Windows 7 (64 bit) I am seeing a massive slow-down of (NB) Windows Explorer whenever I have a Word 2007 document with citations open (regular documents: no problem). Word itself is not affected, so I am not entirely sure this relates to the problem described previously. The slowdown of the Explorer is very annoying, opening up folders and entering data takes ages. Luckily, the word documents still function so I currently limit myself to either working with Word or the rest of my operating system, but of course this is not a satisfying solution. I will try to apply the suggestions mentioned above, although I would not be satisfied to have to turn off integral functions of Word just to get another working.   Any feedback is appreciated. Thank you.

Dr Fautsus,   I do not use Pages, but the way EndNote "footnote" styles work in WORD is to use the WORD footnote function (WORD > References > Insert Footnote ) to insert the footnote number in the text location. Then in the footnote location at the bottom of the page, insert your EndNote library's citation. EndNote does not generate the actual  footnote in a manuscript - it generates a properly formatted citation within the footnote.   Incidently, Snow Leopard users should follow the "Snow Leopard 10.6 Compatibility News " at http://endnote.com/enosx.asp   Emily

Dear Thompson Reuters / Endnote staff and management:   It's important to realize that the discussion here isn't about peripheral, minor features of the software. As currently delivered, Endnote with Pages doesn't achieve the basic goals that a reference management system integrated with a word processor will achieve.   When I fix an error in a reference in the Endnote library, I expect to see that correction in my paper. If that isn't happening, there's no point in using a reference database -- why not just copy & paste references into my bibliography?    We've been promoting Endnote for use within our professional community because it already had some traction. We curate bibliographic information for a research community, and have been packaging that up and distributing it as Endnote libraries. I'm now strongly considering recommending that we drop any use of Endnote at all. Because T-R/Endnote has made no response to the glaring holes in this product over the last year or so, I'm now considering Endnote to be a dead product. And no, telling us to ask Apple to fix the problems is not a useful response.   Make a substantive response to the issues raised in this discussion thread, or you will lose business and gain a vocal group of active critics.   If there is a management level at Thompson Reuters / Endnote to whom these messages should go to, please feel free to share my sentiments up the chain.   -Dean Pentcheff />

The EndNote team certainly agrees that the Pages integration could be improved. We are doing our best to work with Apple on this. The reason we suggest that all of you contact them is because we know that this is the most reliable way for Apple to prioritize EndNote-Pages integration enhancements - by hearing directly from users and customers.   Feel free to send further comments on the EndNote-Pages integration to me directly.   Jason E. I didn't purchase Endnote from Apple, but from Thomson-Reuters. It's up to Thomson-Reuters to deliver on their promises.   Since version X2, T-R's advertising has consistently represented the product as supporting CWYW in Pages, right alongside MS-Word, implying equivalent integration. Researcher collaboration has also figured prominently in the ads. E.g., see http://www.endnote.com/enX3info.asp. Unfortunately, as customers learn all too quickly after installing, the product does not properly support integration or collaboration in Pages as advertised. Personally I feel that I have been misled, because I would not have updated to X2 (a year ago) but for the heavily advertised Pages integration.   T-R's solution so far has been to recommend cumbersome (unworkable) procedures, invite its customers to complain to Apple, and more recently to snap at customers when they ask about this critical functionality. I can understand that the fix may be impossible to provide unless Apple opens up ... I think we all get that. In the meantime, Thomson-Reuters, with all due respect, you really should stop advertising Pages integration and collaboration. Otherwise, I wouldn't be surprised if some frustrated customers did not start contacting the FTC to lay claims of false advertising against your firm. Misrepresenting a product, even if unintentional, is against the law in the United States (http://en.wikipedia.org/wiki/False_advertising).

Yes, you can always import one library into the other, making sure to select discard duplicates.  First run duplicate search on each library to ensure they don't have any duplicates to start with, though.  It would probably be easier, to ask them to just create a new library with additional references and import those.  What this will not do, is "update" any references to which they make changes.  That is much more difficult.

It is not possible to change the citation template to be specific for one reference type.  The citation is set for all ref types, so specific fields in ref types are not available from the drop down. --just the generic field names.

The bibliography is dictated by the style chosen, so that is an easy fix, as long as you have the same set of styles on each computer.  The style chosen is dictated by the machine or the specific style used for a specific document (assuming it is available on the other computer) and is not linked to the library.  These

Hello,   I work for an English University and am having some problems getting the Cite While You Write feature to work properly. Our PCs are running Windows XP Pro, EndNote XI and Office 2007 incidentally.   The problem is getting the EndNote toolbar to appear in Word for each student that logs onto one of our PCs. Obviously the students do not have Administrator access on the PCs and having to run the "Configure EndNote" tool each and every time they log on is hardly an ideal solution.    I've tried creating a login script which runs the "regsvr32 "EndNote CWYW.dll"" command, however this doesn't seem to like being run without administrator rights.   So! Is there any solution that will allow a restricted user to log onto a PC, launch Word and have the EndNote toolbar appear without any additional hassle?   Thanks in advance!   Dave.

Dear all, I'm running into a strange problem with the Angewandte output style. We have multiple references within one item, thus the bibliography in the end looks like: [1] a)blablabla; b)blablabla; c)blablabla. [2] blabla How do I get an extra space/blank between the a), b), c) and the name (initials) of the first author? Thanks for the help! Best, Joris

Best, Joris To insert the blank space, have you tried modifying the output bibliography template:    1. Go to the Endnote toolbar, select EDIT, OUTPUT STYLE, EDIT Angewandte Chemie.  This will cause the Angewandte Chemie style dialogue box to appear.   2. In the left column of the Angewandte Chemie dialogue box, locate the entry "Bibliography" and just below select TEMPLATES.  Thie will cause the bibliography formats for the assorted reference types to be displayed in the right column.    3. For each of the bibliography reference formats shown, put your cursort in front of the "Author" field and hit the space bar to insert a blank space.   4. Close the Angewandte Chemie dialogue box when completed.  You may be prompted to save the changes as "Angewandte Chemie Copy" - click YES.   5. Don't forget to change your output style to Angewandte Chemie Copy which will have the additional blank space.     As for entering a blank space between author's initials, suggest you correct your individual reference type entries in the author name field: Example:     Smith, J. P.               It's even easier if you enter the author's complete name (i.e., Smith, John Paine) as Endnote will convert the initials and insert the space (based on what you entered).

You don't mention the Endnote version or operating system but there's an FAQ with assorted trouble-shooting info depending on the type of program and system you're running:   http://www.endnote.com/support/faqs/CWYW/faq1.asp   Other thoughts:  1) Perhaps a file on the installation disc was corrupted, 2)  If Endnote was working until recently you might consider if you've installed any new programs, updates, or modifiied any files, 3) If you were using a trial version of Endnote, the trial has a 30-day limit.     If you're able, try restoring your computer settings to a date-point before the problem began - this will only be an option if you previously set your computer to create a restore point.

Yes, I already tried that, but that introduces in any bibliography entry a space/blank in front of the first author. This causes a misalignment in the bibliography, because now it introduces a space/blank before every entry, and since it's a mixed 1a,1b,1c, 2,3 bibliography this looks not okay.   [1] a) blabla [2]  blabla   All entries are directly exported from either web of science or scopus. Thanks for the help! Best, Joris

Grouped reference feature is really a new feature introduced in X3. During the beta testing, I also suggested to have a capacity to change the font face (bold, italics) for the alphabet identifiers, but it wasn't included at least in the X3. They (T-R) are simultaneously working on the bugs/glitches for the older versions as well new features for the most recent versions. It doesn't seem they are able to add all the features we request, but making a suggestion doesn't hurt anything.   Anyhow, why don't you have a thread in the product suggestion board, describing your problem and the feature you want?

Actually, this could be our "product suggestion". This is something we often get questions in this forum. Look at the second post of this X4 Wish list thread. If you agree, join the voice, and add a reply like "I want this feature with the next version!" Or, you can create independent thread detailing exactly what you want, and more.   p.s. (From here is my personal opinion about this type of citation style).   I don't use (or I don't like) "Smith et al. hypothesized that blah blah..." or "Schwartz et al. investigated that blah blah .." type of sentences in my writing. This is because, in my field, the first authors are too often "fellows" in the lab, and may not represent the entire lab who drove the study or raised the hypothesis for the first time. Actual person who is responsible is very often the author "close to the last" (or senior, corresponding, principal, ...whatever you name it). Therefore, I usually write my in-text citation like "Other group hypothesized that blah blah...." or "Another study demonstrated that blah blah....", and then add the citation at the end. If I need to compare two studies, I usually goes like "One study demonstrated......(1), whereas another indicated different outcomes (2)" something like that.   This style of writing makes me feel like, "I'm referring to everybody included as authors of this paper", rather than picking up the first author (or sometimes senior author), as if the single person had the hypothesis or did the study. Of course, when I really need to mention about the name of the first author, then I always include "et al" such that other authors are also acknowledged. But very often, I don't know who is actual senior author (or principal investigator) in the author list unless I do the search of the grant funding and/or history search of particular field. Therefore, it is "safer to cite the paper as a unit", rather than picking up the name of the first author, or senior author. I heard instances like "hey, I did that study, but not the person you mentioned in your paper", kind of response from either first or the last authors. Authorship is such a sensitive issue, which is not the focus of this thread, but remotely relevant. Best regards,

I went the journal site for  the source of the style, and they don't ask for a tabbed output, but for this which I cut and pasted from their author instructions:   [1] a) H. J. Ache, Angew. Chem. 1989, 101, 1?21; Angew. Chem. Int. Ed. Engl. 1989, 28, 1?20; b) H. Frey, Angew. Chem. 1998, 110, 2313?2318; Angew. Chem. Int. Ed. 1998, 37, 2193?2197.   [2] A. Kraft, Chem. Commun. 1996, 77?79, and references therein; Sci. Am. 1984, 250(4), 7?8; B. Krebs, H. U. Hürter, Acta Crystallogr. Sect. A 1981, 37, 163; G. Eulenberger, Z. Naturforsch. B 1981, 36, 521; D. Bruss, Appl. Phys. B, DOI 10.1007/s003409900185.   And I can get exactly that by replacing the tab with a space in the style's layout, adding an end of paragraph to the layout following box, and applying  NONE to the hanging indents and saving the style and adding a space in front of the Author field in each of the bibliography templates.  In fact, if you copy and paste the references from an article from the journal, while it looks all the world like a tabbed hanging indent, it has a space and each line is a paragraph. In the HTML version it is a table.    So I highly recommend people focus much more on the "content" than getting a space in the right place.  Once it is accepted, the publishing editor will make sure the references align correctly.    I attach the style I modified, if you want to use it.      (I was unable to generate the correct spacing using the hanging indented settings in the layout, but I didn't try all that hard once I read the author instructions.)

Hear! Open the output style for editing, and go to the "Citations>Numbering" section.   In the "Bibliography>Follow by" box, insert a space after the closing bracket.   Does that fix the problem?

I have already read that page and it's of little use. The 2 solutions they list are:   ----- The simplest way to get the tools to appear in Word 2007 is to run the Configure EndNote Utility from the EndNote Start Menu or the EndNote X1 Program Files folder. Once you run the utility, make sure "Configure EndNote components for me" is selected and click Next. Select the "Unified Cite While you Write for the Microsoft Word" and the "Set EndNote as default reference manager for Word 2007" options and click Next. Click Finish when you are done. -----   Unfortunately, this would have to be done for each user, each time they log onto a PC. As you can understand, having to get each student to manually run a configuration program each time they log on is hardly an ideal solution. If and when we upgrade to X2 or X3, the problem gets worse as the solution for those EndNote versions is to go into Control Panel, Add & Remove Programs and run a repair of the installation - something our students do not have sufficient privileges to do

The second solution listed is to fire up a command promt and run: Unfortunately as I mentioned above, this command requires administrator rights and therefore will not work under our student accounts - which is a pity as it'd otherwise work fine in a login script. Don't suppose there's any other ways of getting it working?   (Sorry for posting this over 2 messages, the board kept complaining that it was over 20,000 characters when I tried to post it as one message - even though it isn't).

Hi everybody, I?ve got a problem with my freshly installed Endnote X3 for Mac and I hope, somebody can help me. I just switched from Microsoft Windows XP (with Endnote X1 and Microsoft Office 2003 installed) to Apple Mac OS X Tiger (10.4.11, with Endnote X3 and Microsoft Word 2008 for Mac installed). I'm using an Endnote-file with approx. 1.200 entries. Generally, the switch wasn?t a problem. My old Endnote library can be opened with Endnote X3 for Mac, all database entries look fine and it is a pleasure to create a new Microsoft Word 2008 File and to insert new Endnote-entries.   BUT: Unfortunately, it is almost impossible to work with the document containing my doctor-thesis. The document is already 65 pages long and contains 672 citations. The bibliography is approx. 11 pages long. I already created it within my old Windows system configuration with Microsoft Office 2003 and Endnote X1. Although It is not a problem to open the document with my Mac, and although all Endnote entries are identified correctly, it is hardly possible to edit the entries with Endnote X3 and Word 2008 for Mac. When I click ?Edit citations? to edit a citation with CWYW, it lasts 5(!) minutes(!) until Endnote opens the right entry (although the right endnote-library runs in the background). Under Windows, this step lasted 10 seconds or less. I just tried to save my original document within Windows under several Word-document-formats (.doc, . docx) but that didn?t change anything. The same with deactivating the automatic spell check. Obviously the problem is connected to the text size of the Word document. When I open an old word document with only 10 pages, CWYW needs ?only? one minute to start the editing-dialog (which is better but not really acceptable). Within an old single page document with only a few entries it lasts a few seconds. The Mac notebook I use now is not a brand new model, but it already has Intel Core 2 Duo with 2.16 GHz and 4 GB DDR2-RAM size (3 GB usable).   I?m grateful for any useful hints, thanks a lot, Matthias

Just to add Leanne's suggestion, I believe MS Word for Mac and MS Word for Windows use different coding system (macro language) to control add-ins like Endnote's and Acrobat's tool bar commands. So, when you change the platform for yourself or to collaborate between Mac and Windows users, it is safer and better to work with unformatted document.   "Edit citation" also creates additional problems, because it introduces anomalies to the unformatted citation in the curly brackets. The solution is, before you migrate from one platform to another, it is better to clean up these special edits made by "Edit citation command", write them down where they are, unformat the document, then migrate to the new OS and word processor. Once unformatted document is loaded, re-edit each citation with the written down memo.   I know it sounds a lot of work, but you should have a good reason to do this big change when you switch the OS. Even after millions of complaints, Mac to Win or Win to Mac transition is still a big headache (remember, even floppy disks were different format between them, right?) It's kind of same old, same old stories.

Term lists keep all the author names and keywords for a given library. But, if you want to associate individual authors with keywords, for the purpose of finding out who is doing what kind of research, then the answer is no, Endnote doesn't have such capacity.

Hey Leanne, thank you for your quick answer! Yes, I tried to unformat the document. I saved it with a new file name and reformatted it after opening it with Word for Mac, but that didn't help.   Last thing I'll try today: I will install Endnote and Word 2008 on my wife's Mac with OSX 10.5 (Leopard). If Endnote works significantly faster in this enviroment, I've to think about updating my Mac to Leopard or Snow Leopard.    Regards, Matthias

Hi, I'm new to using ENDNOTE and me and my college have the same kind of problem. We don't find the answer in the help-section. How do I choose to not use brackets for a citation in the text? For example I like to start a sentence by:   As Van Horne (1983) suggests there could be...   Van Horne (1983) should then be listed as a normal reference in the reference-list.    Sincerely, Magnus

I would like to start a new library by copying the references from a file in an old library.  When I do this, Endnote automatically makes duplicates of the pdfs attached to those references.  Since there are so many, I would rather the new references just link to the original pdfs.  (This would all be easier if Endnote allowed folders within folders...)  Is there any way I can get around this problem?    I am using Endnote X1.  Would be interested to know if it would be easier todo this sort of thing in the most recent version of Endnote, as well.

I'm using Word 2007 with X3 on Windows XP Professional. My EndNote library is local (same hard drive as Word file; not on Web). Word keeps crashing (about 50% of the time) when I try to edit a citation to include a page number. EndNote is also claiming a Parameter error each time I try to include a page number with one of the citations; it appears to accept the page number, which briefly shows up in the text, and then throws the error. Any help will be graciously accepted. This is unbelievably annoying. I've been a dedicated EndNote user for years, and I'm on deadline! AARRGGHH!

If you select the Annotated style, you can format or export your references with the abstract included.   Alternatively, you can edit any style to include the abstract:   Click on Edit>Output Styles>Edit [style name] Then go to Bibliography>Layout. In the "End each reference with" box, use the Insert Field menu to select End of Paragraph, then Abstract.

This is not possible to my knowledge.  While Endnote can convert absolute links to relative links, I can't think of an easy way to convert relative links to absolute links.  There are wish list items that relate to making the PDF links, editable, which if implemented, might allow this kind of feature.  see number 8 of this list: http://community.thomsonreuters.com/ts/board/message?board.id=en-suggest&view=by_date_descending&message.id=457#M457

I have a RIS file containing a record with a publication date in the future (2010). After importing this bibliographic record, the record in EndNote does not contain a date. If I import the exact same record, but this time with PY - 2009, the EndNote record lists 2009 as the publication year.   How can I fix this? Some publishers predate their journals, so volumes/issues dated 2010 are already appearing on our shelves.   I have put the two records online, for temporary access in case anyone wants to try and see what happens: http://drcwww.uvt.nl/~broekman/workfiles/EN_RIS2009.txt http://drcwww.uvt.nl/~broekman/workfiles/EN_RIS2010.txt   (Using EndNote X1)

Have you tried turning off spell checking, auto correction, auto formatting, grammer checker, track change features in Word? Those "automation" things are sometimes causing conflicts with Endnote.   These are the features you may not need to turn on all the time. When spell checking is necessary, turn it on before final. In fact, as soon as soon as I install Office (2003), I turn off almost all of them. Maybe that's why my Word works so fast, and work well with Endnote.

The X1 manual explains that the filters treat the Year in a non-standard way: "Only 4-digit numbers (1### or 200#) are imported."   With EndNote X3, years such as 2010 import correctly. I don't know if the developers plan to provide a patch to fix this problem in earlier versions of EndNote.

Darn.  I'd appreciate it if anyone had any ideas about the easiest way to go about doing this.  I basically am trying to have a library that is just references for my dissertation research, and not all the extraneous stuff I've accumulated over the past few years.  Then I'd like to put these references in theme-based folders.  Currently my "dissertation folder" is too big and disorganized.  But since I've already got 100s of references, many with attached pdfs, that I'd like in the "just dissertation" library, I can't  start a new library manually--I don't want to waste my time re-attaching all those pdfs.  Nor do I want all those duplicates.   I just wish Endnote allowed folders inside other folders in a library, or allowed me to transfer references in one library to another, without them turning into "new" references.  But since it doesn't (Yet? If a new endnote solved these problems I would actually use my meager grad student bugdet to buy it.)-- any ideas about the easiest way to do what 'd like to do would be welcomed.  (Or suggestions about other software that would do this.)  Help!

There are several things you can do.   1. Upgrade to X3 (will cost some $, of course), and use Group/Group set function to categorize/organize your references. Just keep your "giant" or "messy" library as it is. You can easily create "References for thesis" group set, and under this set, create your own category groups. Then you don't need to relocate/rename/reattach your PDFs. But, no matter what, you'll probably face "clean up" pressure after getting the thesis accepted, I guess.   2. Export only essential ("for thesis") references using Endnote export (change output style such that you don't include the file attachment information), and re-import to a new library. Upgrade to X3, and use Find full text function to attach PDFs. Then you don't do the "re-attachment" for hundreds of them.   3. Take a deep breath, then start renaming all the essential PDF using some ID numbers. Put all of them in one folder. Use URL field to attach PDFs. (This is the method I use, but I didn't take a deep breath. I started maybe 6 or 7 years ago when Endnote first had URL field. Reasons: I don't use folders to categorize PDFs. I use Endnote to categorize my records w/ PDFs. URL field allows me to batch-edit text information by Change Text feature. etc)

Try unformatting and reformating the complete document. You may have delete individual bibliographies, but the best way to combine them, would be to unformat the individual chapter documents first and then combine and then format.  It should create one reference list at the end, with no duplications.  Remember that if you unformat a document, you must re-engage the CWYW function while you are refomating, (third tab).

If you are asking if you can import cited citations from a paper, can export the cited papers in SCOPUS and import them if you have access via your institution.    You might be able to  Web of Science thru Endnote Web?) may also offer this facility.

The solution I can think of is to use custom field to accommodate the name of the institution/building. Say, you have "Direktion für Bildung, Kultur und Sport" in Custom 1 field, then have this field before Author in your output style. If the reference have regular authors and no building name (in the Custom 1), output style will format as usual. There would be a better solution......but it would work for you.

Hi Folks,   I've asked this question once before (http://lists.adeptscience.co.uk/endnote/endnote_Apr_2008/thid_5a71dc295c5e744df28c608b3391c391.html).  Many of us who have libraries combined from older versions of endnote now have many duplicate references each of which are associated with different groups.   Has anyone come across a way (a script perhaps?) to remove duplicate references while maintaining their various group memberships?  For example, reference1 is the same as reference2.  reference1 belongs to group1, and reference2 belongs to group2.  I want to delete reference2, and make reference1 a member of both group1 and group2.   I could do this manually, but it would probably take 3 days of work.  So, that'll never happen.  My library remains a mess, ever since the advent of groups.   thanks, allie

Put two commas instead of one:  Direktion für Bildung,, Kultur und Sport, that should take care of the problem.

Still a problem as the citation will only include the first part. See  http://community.thomsonreuters.com/ts/board/message?board.id=en-howto&message.id=1825

When I saw much better solution following my twisted one, I said oops, and I was almost returning Guru emblem. But maybe mine could solve the in-text citation problem? (I admit I didn't know the in-text citation problem at all.)   (Custom 1*Author, Year)  * being link adjacent text   How about using this for in-text citation, and have the "Direktion für Bildung, Kultur und Sport" in Custom 1, and no author in the author field. Regular ones still format fine, because Custom 1* will disappear.

I understand what you want to do, but how script, or somebody else other than you, know which group one particular reference should belong to? If one group is completely unnecessary, you can tag references that belong to the group and delete all of them, but that doesn't solve the problem. This problem is not possible to automate...inherently.

You could try inserting two commas after Direktion für Bildung so the entry (in the Author field) looks like this:      Direktion für Bildung,,Kultur und Sport   The bibliography entry will appear as: Direktion für Bildung, Kultur und Sport. This is realy a part of the solution! Thank you all for your tipps! Just note, however, that the in-text citation will appear as (Direktion für Bildung, YEAR).  If you want the cite to include the "Kultur und Sport" you will need to manually edit the citation and add the 3 additional words as a suffix.  Good idea! But I have first to exclude the author and to whrite Direktion für Bildung, Kultur und Sport as a prefix, otherwise the author is behind the year. It is nor a very comfortable solution, but it works! The manual edits can get rather tiresome if you have alot of  similar-type entries to deal with - so creating a custom field (and modifying the output style) as myoshigi suggests would offer a practical long-termfix.   Thank you all for your help!

@myoshigi - I don't think you understood my question.  My duplicate references already belong to different groups.  There is nothing inherently un-doable about that.  I'm not asking for any sort of automatic judgement from the computer.  Did you read my example above carefully?   ref1 belongs to group1.  ref2 belongs to group2. ref1 and ref2 are identical, apart from their group memberships.  A script would delete ref2, and make ref1 belong to both group1 and group2.   Pretty ***edit*** simple.   And yes - i have one master library.  And yes - i started with many, before groups came along.  Which i stated before.

Then, who decides ref2 to be deleted, and ref1 to be kept, and retain group membership? Record # should be the only difference between two references, so is it all right to keep the one with larger record number?   The point is, your duplicates may not have such a uniform duplicates. When you describe your library contains "mess", I imagine some duplicates don't belong to any group (ref 1 to group 1, ref to to nothing), or some duplicates belong to redundant groups (ref 1 to group1 group 2 and ref2 to group 1 and group 3). If you have the one like the latter case, and then you want to keep ref1 instead of ref2 because ref2 shouldn't belong to group 3, who tells script such information? Are you okay to merge all the group 1 2 3 to ref 1?   In any case, EN deals with the group membership as not exportable/importable information. So the scripting is not possible, at least in the Win platform. Mac Endnote started to support AppleScript, but what level...I have no idea.

The decision can be random, or all duplicate refs could be added to all groups, and all duplicate refs minus one selected, making it easy to delete.  EN already has a "find duplicates" function.  How does it decide which one to highlight?  You are making this way more complicated than it needs to be.  Much of the functionality already exists in endnote.  They just need to push it a bit further.  I imagine you're right about it not being able to be scripted.  It's something the developers will have to write.  And that means waiting.

Hello I work with Vista Home Premium, SP 2. My Computer has 4 GB RAM. Installed ist EndNote X3 with update to X.3.0.1 and Word 2007. In Word, the CWYW ist installed and if I insert a reference from EndNote to Word it works. Word shows the reference in the selected style and build the bibliography at the end of the document. BUT: If I change the first Name of the author or the year in a EndNote Reference (and I save the change), the change in EndNote would not change in Word (in the in-citation). Even when I click the Button "update citations and bibliography", the reference doesn't change in Word.  Only when I change the Name from Müller to OMüller(a new first letter) the change of the name changes also in word. The options "Enable Instant formatting", "Scan für temporary citations" and "check for citation changes" is activated. Thanks for help!

Looks like you've tried everything but just curious -  have you checked Word's "Add-ins" applications feature in MS Word to identify if the EndNote apps are active or inactive.  (Click the Microsoft Office button, then click "Word Options" then "Add-Ins".) Also check the "Trust Center" setting tor Add-ins to re-check that the "Disable all application add-ins" is de-selected.

Thanks for checking the Word and EndNote settings and for the pic.   I assume you have both Word and Endnote open simultaneously as once a change is made to a reference, clicking on the "update citations" button in Word should automatically update the citation and reference in the MS Word doc. Unfortunately that doesn't seemm to be happening for you. Have you tried unformatting then reformatting the document?  (Make a backup file copy before you do.)

Hey - thanks very much for getting back to me! I checked the Trust Center settings and "Disable all application add-ins" is de-selected. When I go into Add-Inns, EndNote is listed under 'Inactive Application Add-ins'. If I then select 'Word Add-ins' fromt he Manage: drop down at the bottom of the window, in the Global Templates and Add-Ins tab which comes up, Endnote is in there but unchecked. If I check it and then click ok, and then go back into Add-ins, End Note now appeats in the 'Active Application Add-ins' list - but the endnote tab/toolbar is still not there! I get a security warning saying Macros have been disabled - is it something to do with that? Should I enable all Macros in the trust centre, or is that dangerous?! Any further advice greatly appreciated! Sarah

Depending on the style you're using, you could check the corresponding manual to see if there might be an option for listing the website's "home" URL as opposed to listing the URL link leading directly to the web reference.    At the moment there doesn't seem to be an automatic "line break" feature but you could manually "break" the line by placing your cursor within the URL address (at the location you want to insert a line break) then press the SHIFT and RETURN keys simultaneously. (You can check to see if the link still works by pressing the CONTROL and "click" key (mouse/track pad button).

Thanks for checking the Add-Ins and Trust Center settings.   The macro warning is probably due to the Endnote add-ins/tools being disabled.    While you were looking at the "Add-ins" screen, did you notice whether there were several  Endnote add-ins listed under "Inactive Application Add ins"?  In the Active Application, there will be 3 listed (Cite While You Write, EndNote Cwyw.dotm, and EndNote Cwyw Citation Recognizer). - and these are the ones that need to be reactivated.    To activate an inactive add-in, click to select it, then click the "GO" button at the bottom of the screen.  A pop-up window should appear and select any EndNote or CWYW listed, then click OK.   When you're done, close MS Word and restart the application.

The travelling library is useful when you are collaborating with another endnote/word user, and avoids the need for both share the individual libraries, but these problems arise when you make changes to author or year, or delete the record and replace it with a new one, with a different record number.     When Endnote looks for a match in an existing inserted "temporary citation" it matches Author, year and record number.  If any of these don't match (as in your case) it uses the information in the "travelling library" embedded in the paper, rather than the open library.  To fix this, the easiest way, assuming you have all the references in a library, is to unformat and it reformat.  The old temporary citation will now trigger a dialogue and you can choose the correct new reference for insertion.  If you know it is just the one, you can delete it and reinsert it, but to catch them all unformating and reformating is the way to go.      http://community.thomsonreuters.com/ts/board/message?board.id=en-howto&message.id=1832

In X3 you get to choose which duplicate you want to keep. It is no longer automatic. We have already asked for the option of copying information from one record to the other in a future version during this review process. So I think what you need to request, in addition, at that decision point is for the group information to be clearly visible and for the additional option to edit group membership to that dialog in the next version update.

I upgraded from Vista to Windows 7 Professional and everything went very smoothly. Before doing so I checked this site to see if there were any expected problems with EndNote on Win7, but there was "nothing reported." However, I have noticed that the menu option (right-clicking an in-text reference) is unexpectedly gone in MS Word 2007. This means I can no longer edit citations/references, a feature I used very very much.    Also, I cannot exit MS Word 2007 upon using a document with EndNote references without first getting an EndNote error message ("Unspecified error" - might be "unknown error") and then having Word crash. I have to forcefully shut it down.    I've tried repairing EndNote but that did not solve this problem. I tried repairing MS Office 2007 but that too didn't change anything. Repairing both Office and EndNote (in that order) restarting Windows in-between also did not have any effect. So obviously this is a problem with compatibility between EndNote X3.0.1 and Windows 7.    Did anybody have the same problems? Did anybody find a solution? Is Thomson Reuters working on this problem? As it is right now, EndNote is quite useless - I cannot use it and have to go back to typing my references (or, potentially, purchasing another reference management software).   Please advise. Thank you.     Per Bylund

Vista, XP and some prior Windows OS versions allowed for "rolling back"  the OS for programs that worked correctly on an earlier version of Windows.  If Windows 7 has this option, you could try rolling back the OS for EndNote to Vista, XP, or other. to see if this addresses your problem.    To rollback the compatibility, locate the EndNote application file, select it, then right-click your mouse/trackpad to display a properties menu.  (If you have an EndNote shortcut icon on the desktop you can place the cursor on the icon then right-click.) This will bring up the EndNote's "Properties" box.  In the "Compatibility" tab, click the "Run this program in compatiblity mode for" option, then use the pull-down menu to select the desired OS.  Click the APPLY button then close the properties menu box.   Restart your computer.

This way is  available only when it is about the same author (Smith, 1990), but when it is about a work of several authors (Smith and al., 1990) it is not possible. Because in this case Endnote X3 doesn't take into account of the repetition (Smith and al., 1990; Smith and al., 2000).  Thank you for your help

Author: eeungga (New User)
Date: 11-09-2009 10:50 AM

Hi first time user for endnote X,   I would like to sort my references by original article and review articles. After online searching with PubMed (NLM), I see the "publication type" (PT) on PubMed is sent to "Notes" field.   PT has various sentences such as research support, review, etc, but I would like to have "review" sent to "type of article" field only.   Does anyone know how to do that?   Thanks for your help in advance!!

Hello,   I have the problem that my library is gone and I can only find an old saving. In the Dokument I can still see the references but in EndNote I can't find them anymore. Is it possible to import them from Word into EndNote?   Thank for your help, Kim-hh

No, at the level you import from tagged texts, or from online connection. But, yes, you can list references that have "review" in the Notes field in your library, and use "Change/Move field" functions to enter "review" in Type of Article field of all the listed references. Then, "Change text" function to delete "review" in the Note field. Hope that satisfies your needs.

You don't say which version of endnote, but from any recent version of endnote (since 7 at least) you can recover the "traveling library" which contains all the references that you have quoted in the manuscript.  BUT it will have new record numbers so you can't use it to reformat that document (which has the embedded references anyway, so you don't need to).  New references inserted into your library can be used in that paper though.

Dear All,   I have one user with EndNote X3, who can download full text fairly successfully from University journals but has problems sometimes downloading from free to access journals.   So, for example, with the journal "Genetics" only a URL is found for a 1999 reference, and nothing at all for a 2008 reference.   a 2007 reference found a PDF.   And she has problems also with the PLoS titles, where only a URL is found.   I don't have access to X3 so can't test anything out.  Has anyone else had this problem?   Can anyone recommend anything?     Thanks,         Keith   Keith Nockels University of Leicester Library, UK

So rather than importing with discard duplicates (which would do the exact opposite, and throw away the updated record), you could try this - but it isn't exactly automated, ---   Since there is an "last updated" field now, I would display that in my library display view,  sort on that on the edited version of the library, drag and drop the appropriate records from a "since" date,  into the "permanant" library.  Then (with X3, I wouldn't do this with X2) run the find duplicates and keep the most recent, presumably updated copy.  This would get new records and newly updated records would be the copy you retain.

Every time I open a Word document with Endnote citations in it, the program goes to the first parentheses in the document and gives me the error, EndNote X2 Select Matching Reference. EndNote is not picking up references, but instead other material that I want in parentheses. I have tried changing the temporary citation delimiters to square brackets or anything that does not resemble traditional parenteses, but this is not working. I read some earlier advice to just hit "ignore all." However, this advice does not solve the problem since it persists with others who try to read my documents. Are there any other solutions? Thank you.

Thanks, but I tried that and it doesn't work. Windows 7 is supposed to have a greatly enhanced compatibility function for running individual applications as were they installed on a previous Windows platform. So I've tried running EndNote X3.0.1 "on" the Windows Vista SP2 platform, which is what I had before the upgrade.   In this case, however, I'm pretty sure that it is one (or more) of the EndNote Add-Ins that doesn't work for Word 2007 on the Windows 7 platform. The error message is only in Word (but originates from EndNote) and my lacking right-click menu options also suggests it is the EndNote part of Word that is incompatible. (I have noticed no problems with the stand-alone EndNote program.) So I would have to run the Office package in compatibility mode - and that certainly doesn't make much sense!   I contacted Thomson Reuters about this issue, but they only replied that they are currently "testing" to see if there is any incompatibility. Since Windows 7 has been available for the public since three weeks and was available for computer manufacturers and software developers since May or June, I doubt Thomson Reuters are very anxious to provide a solution. Perhaps they are working on the next version and rely on this incompatibility to generate increased sales?     Per Bylund        CrazyGecko wrote: Vista, XP and some prior Windows OS versions allowed for "rolling back"  the OS for programs that worked correctly on an earlier version of Windows.

I'm sorry to hear your troubles with Win 7. IT staffs in my institutin (as with other mid-large corporate users) have been doing "wait and see" regarding Win 7 upgrade, so I can't be of any help. I've looked at Microsoft's Win 7 site, and they emphasize "Win 7 is simple", but my XP is also simple, fast, and smooth. I couldn't find any features I feel interested trying to make my productivity better other than improved search. Many corporate users may be feeling the same way. But I'm sure Microsoft will stop supporting XP and make it purposely obsolete. Other MS-associates will also sell PC/laptops only with Win 7. That's the time I would consider upgrade. It's not a solution, but how about using OpenOffice temporarily? At least EN X3 has been working just smooth in my Vista Ultimate 64bit, so I imagine it would work better than Word 2007. Reading all the troubles around Word 2007 here in this forum, I'm very much determined I will skip Office 2007.

there are two ways.  I think it is better to have a stand-alone thread in the suggestions forum here.  It makes attacting "me too" or letting people add "Kudos" easier than having a message in the X4 wish list, I think.  -- but there is already the groups thread there, so you could just add to it.    But - Also, go to the www.endnote.com and use the suggestion link there.  I think this formalizes the "suggestion" and might help to get it into thier job list.  Be very specific (and then copy that to the suggestions thread?).

In September 2008 there was a question posted here about controlling the line breaks within the bibliography.  There was never an answer to that question as far as I can tell.  I really need an answer to this question.  Below is the original question as it appeared in the forum, though where the question writer refers to Endnote 8, this same question applies to Endnote X3 - several versions later and we still are having this issue that affects all of us, especially those of us who are frustrated with Endnote breaking in the middle of a chemical formula!  Please tell me there is a fix....     "My bibliography is being output with many innapropriate linebreaks-- for instance, splitting consecutive reference number ranges, splitting page ranges, and splitting hyphenated words that should never be separated on consecutive lines.   Is there a way to prevent endnote from breaking at hyphens, since endnote 8 does not have ctrl + shift + - fucntionality?    Examples of my picky issues follow:   This statement completes here.^17- ^19   instead of   This statement completes here.^17-19     Other annoying breaks include chemical names, such as line breaking after the hyphen in something like n- alkanes   when I would prefer just putting the whole thing on the next line,   n-alkanes   or splitting page numbers at the end of a line, 221- 223.   I hate this, page numbers should never be separated.   221-223.     Any help using endnote to create nonbreaking hyphens will be greatly appreciated!!!"

First, use Change field function (from Tools menu in X3), not Move field function, to enter "review" all the Type of Article field. Move field function is intended to move entire contents as you've already found.   Before committing to Change field function, make sure you listed references that have "review" in Notes field, and also you selected Type of Article field from the pull down menu. The pull down menu is particularly important, because if you accidentally perform this action for Author field, all the authors will have "review" at the end or beginning, and you can't undo this action.....obviously, it is better to have a backup copy of your library, or be extremely careful.   Secondly, use "Change text" function (from Edit menu in X3) to get rid of "review" in your Notes field. You can leave the box of "Change the text to:" as blank, which will delete the text you enter in "Search for" box.   As a result, you will move the text "review" from Notes field to Type of Article field.   Once again, double check you manipulate the right field, for right references before say "OK". Best...

Once you have a group of references selected, by doing the search - you don't actually need to move any words from the notes field, you just need to change (add or replace) the type of article field to include the word review.

Endnote doesn't have a field for "citations", so while you can collect the references that cite you, unless you upload the citations for each journal article that is cited -one by one -  and then use the Change/Move tool to add the cited paper to an unused field and then move on to your next journal article and repeat -  there is no way to import all of them and automatically report which paper of yours is quoted.

Well I can't get to the journal submission instructions page, so can't suggest a "look-a-like" style from the Styles collection Myoshigi put together.  Perhaps if you look there you might find something that is close that you can "tweak".  If you still have problems, attach the style that is closest and the problem and one of us can help.  Otherwise, you need to go to the www.endnote.com website and submit it (with the journals instructions page web address) to add as a new style.  I don't know what the turnaround time is for that though.    Finally, if you "browse" the styles, (use the "preview tab" to see what formated references look like) you might find one that is close to your needs.

You could search through various online libraries such as the Library of Congress, Google (Books, Web or Scholar), and even Amazon.com to locate the reference which will then list the ISBN number.

To create footnote references, you need to insert and indicate where (which page) you want footnote from Word menu.   Please refer to Help file in Endnote, using search term "footnote". You'll find instructions.

Interesting bug (??) with Win 7 and Word 2007, but are you able to reproduce the same thing in other OS or Word versions? Many users here still use XP (and some Vista), and very few uses Win 7, I guess. We won't be very helpful if you can't reproduce the same thing in other OS or Word.

So...from your site link, the format for journal article shows like this:    Nugen S, Baeumner HJ (2008) Trends and opportunities in food pathogen detection. Anal Bioanal Chem 391:451-454   The reference should be appearance order.   Then, my designation for the style template goes like this:   SG2_Ap_(Yr)_Ti_Jo_ Vol_Page   meaning Sir name, Given name, type 2, appearance ordered, year in parenthesis, title, journal, volume, and page   Please go to the thread Leanne pointed, and find out the style templates that have close to this. To me, the templates that have -Plos or Pediatric Radiol at the end look very promising. They may be from Springer journals.   You may also need to tweak the template for in-text citation a little bit, such that numbers are enclosed in [ ] brackets, and the maximum number of authors listed in each reference. If you've never touched styles, go to help file and learn some basics. It's not that hard.   Otherwise, you could request to make a style for this journal, but it'll probably take much longer and you wouldn't be able to wait before your submission.

@Leanne   Yeah, that's what I've been doing.  Editing before submission.  My current paper (a review) has over 200 references so this takes a long time and it would be nice if this feature was possible so that I didn't have to worry about it.

If I use one of the templates which provides for a bibliography page it doesn't do it.  Only when I am trying to do a footnoted essay which needs no bibliography.  It seems to get confused if it doesn't need to produce a bibliography.

I am using endnote 9 on my Win 7 platform and can not get it to recognize endnote.   Is there any compatibilty issue with older version of endnote?   thanks

So, how about attaching the template you are using? I've never used manuscript templates that come with Endnote, and I'm using Word 2003. Somebody using Word 2007 may help?? I'm not sure.   Or directly communicate with Thomson Reuters. They may be able to check your template.

This happened to me too. The way I fixed it was to go to the Endnote Toolbar, Choose 'Preferences', Go to the 'Application' tab and Choose 'Endnote' as your preferred application.   Hope this works for you!

Has anyone figured out the best way to use Endnote as a publisher?   We edit Word documents and then send them back to the author and then the authors need to add or delete references at this stage. Currently, we use the travelling library, but don't make any changes to it until the Word document comes back from the author because otherwise the author's library would override any changes we have made. We'd ideally like to make changes to the references at the editing stage and then send the Word document back to the author.   Any suggestions on the best workflow for this?

Why not just search and replace all the - to non-breaking?

I don't think they ever even said it would work with Vista.  It is no longer a supported version, so if it works great (although some have reported some problems with X3 and Win7) and if it doesn't -- see the previous parenthetical comment!

Hi there   When I was inserting endnotes I had trouble with the name of departments as it was treating these as authors the second time I referenced them e.g. Department for Children, Schools and Families it would insert just Department the second time. To fix this I was told to enter a comma at the end which worked and I thought the problem was fixed. Looking through my bibliography last night though I noticed that the commas have been picked up here and it now reads "Department of Children, Schools and Families,." Is there any way of fixing this? I am using Chicago 15th A Style .   Any suggestions would be most appreciated.   Thanks,   Sarah

@Leanne   Because it's not just hyphens.  I have tons of chemical formulae that break in the middle.  Just before submission, I have to go through the entire bibliography one item at a time to make sure it's not breaking in the middle of formulae, before/after brackets or parantheses, etc.  Hyphenated page numbers are the easy things to fix...
