These classes are presented by Thomson Reuters, Scientific, and are free of charge, online with a live trainer, where users can ask questions just as they could during an onsite training. I wrote a paper using CWYW (EndNote X) in Office XP. I then sent it to a colleague who made some changes to the text, citations, styles, etc. I believe he use a Mac but I don't know the versions of EndNote or Word.   When he sent it back, I tried to add another reference, but all it does is add the in-text citation (e.g., {Smith, 2001 #686}). It doesn't even add it as a field, it's just plain text.   In an attempt to figure out the problem, I tried to export the contents of the paper to a traveling library. I figured it might help to add the new reference to the traveling library, then cite from there. The new library consists of about half of the references in the paper. It didn't export any of the references that my colleague had added. All I got were the ones I put in there myself. Choosing "format bibliography" removes all of the references he added also, but DOES convert the in-text citation to a proper reference.   Does anyone know what could be going wrong?   Thanks.

It is essential to know what version of Word and Endnote your colleague used.  My recommendation (hindsight being 20/20) is that you always share an unformatted citation (curly bracketed) version.     I suspect that CWYW has been turned off, which is why you inserted the curly bracketed endnote citation, nothing happened.  You can see if this is the case by clicking on Format Bibliography and then clicking on the "instant formatting" tab and see if the button says "enable" or "disable". If "enable" then it isn't on.  If you turn it on, inserted references should now format.    Two, when two different versions of Endnote are used on a manuscript, there are a couple things that can happen.  One user may have the temporary citations set with square brackets and the other with curly.  Only one set might be picked up.  Often the whole thing can be fixed by selecting all, and unformating the endnote citations. If some are curly and some square do a search and replace. Of course,  their citations will no longer be available in the "traveling library" and you may need to get their library or download the references into your library. It sounds like they weren't in the traveling library anyway for some reason. (were they usuing pre-Endnote 8?)  (AND when you do manually unformat all the references, this turns off the instant formating and you have to turn it on again!)     There are many other tricks I use when sharing a manuscript with a colleague.  I save an extra copy and unlink (not unformat) the endnote references (select them and shift control F9), and then copy them into the a copy of the unformatted manuscript.  This way, my collaborator can see what refs I have included.  I have a style, that includes the record number so they can see which ref is which.    Let us know how it goes.

Help us help you by telling us which version of Endnote you are using.   I am not sure exactly, as I never use "endnotes" - perhaps you should be looking at the "footnote" formating for the styly you are using.    It is really important to read the online manual and get to grips with editting a style when it isn't producing exactly what you expect or want.  Select "edit, output styles, edit "your currently selected style name here".  There you can specify the why the author name is handled, lastfirst, or first last, etc) and the order of the items.  I doubt you will need to edit or create a new reference type, but if you do, that is handled thru the edit, preferences options.    Any more complicated instructions we might provide, won't make sense until you look there.    good luck and let us know how it goes!

I haven't been able to get in touch with him to ask about version numbers, but here's what I've figured out. My document apparently can't handle consecutive citations. So, if I format the bibliography or try to export a traveling library, only the single citations get noticed. Anything else like "23,25" or "4-6" is ignored. The fields remain in the document, but the corresponding references are removed from the bibliography or are not put in the new library. If I unformat the document, all the single citations are converted to curly-bracket form, but consecutive ones don't change.   Evidently, this is not a problem for him, as he was able to add the citation without a problem.   I will post more as I get more info... thoughts?

Formatted Word documents created using EndNote 8-X on one platform can not be transferred to the other platform.  When you have a citation with large amounts of data, which happens if you have multiple references in a citation, the data is stored in a format that EndNote on the other platform can not read.   If both people do not have EndNote X1, you must use the "Tools > EndNote > Unformat Citations" command before sending the document to the other user.   This issue was discovered after the release of EndNote X.  EndNote X1 was designed to understand the different formatting cause by the two different platforms.

Subject: Custom Reference Types won't stick

Dear all,   I'm having a rather frustrating problem with custom reference types. I'm running Endnote X on a Mac and after making multiple changes to the default reference types I closed Endnote. On reopening, all my modifications had gone and the defaults were back. I've looked in the Library:Endnote folder, and there is indeed my xml file there, but instead it is renamed RefTypeTable.OLD.xml. And no amount of trying to close and rename the file will get it to load up in Endnote.   So I tried just making a few editions to the new RefTypeTable.xml file - just changed a few of the reference type names - then closed endnote and re-opened it. It happened quite quickly but I think my original RefTypeTable.OLD.xml file was overwritten by the new modifications I made. The edited reference type names had certainly reverted back to the defaults.   Basically I'm stuck with the default Reference Types and can't change them permanently.    So I'm wondering if anyone has experienced the same/similar problem and would know how to deal with it, or whether I'm just being stupid and doing something fundamentally wrong.   Any help would be appreciated, Woody

I think we're both hesitant to upgrade to X1 while we're doing this, just to avoid another compatibility issue, but at least now it makes sense. We can just unformat and then reformat for now and that should be fine.   Thanks!

Subject: Copying from One Field to another

Hello. I am doing conversions of several databases from Procite to Endnote X1. After I clean up in Procite and do the conversion, I need to locate and attach hundreds of PDFs. Generally I have been saving the PDF names after the article title, journal initials, and year, and attaching easily that way. However, I have a new database with a specialized PDF naming convention, and I wondered how I could "add to the end of the custom field" numbers to be appended to the specialized PDF name - ex.   PDF_01, PDF_02, PDF_03, etc.   Or, how I could copy the record numbers from the record number field into the end of a custom field.   Thank you.

Subject: Tab-Delimited Style

Hello,   I was wondering if anyone has used the tab-delimited style in EndNote10.  I have tested out the style and when exporting the file into Excel the columns are really off and are not organized well, making it hard to use the data for sorting and charting.    Has anyone modifed the Tab-delimited style so that each piece of information appears in it's own column when exported into Excel?  If so, would you be willing to share?   Thanks, Cindy Koman Serials Librarian Albany Medical College Albany, NY "komanc"

I experienced the same problem when trying to use this style to make an Excell file.   I do not remember the cause of this problem, but I was adviced to first export the library by using the style "EndNote export" to a .txt file and then import this file again back into a new EndNote library by using the filter "EndNote Import".   If you now try to export references from the new library by using the Tab Limited style the result should be better. Hi all, how are you?  I am running:   Win XP MS Word 2000 Endnote X1.0.1   I have been working on a paper the last half a year and Endnote and Word have worked seamlessly together.  However, for no apparent reason, from yesterday I can't insert citations properly.   Whenever I try, an Endnote dialog box with "The range cannot be deleted" comes up.  My reference list at the end of the paper is not changed despite the addition of the reference.   I have updated my endnote to the latest edition.  have tried formatting, unformatting and re-formatting my bibliography without success.  Please help.  I have used endnote very happily and relied on it for many years on my theses and this is the first time I have had a problem happen.  My paper is due in a few weeks and without endnote it would be impossible to finish.   Thank you very much.  Any help is greatly appreciated.

Hi all. I am hoping someone can help me with a problem. I am running endnote X.02; windows XP, and office XP. I don't get an endnote toolbar in word. I can't see an option to show it in word under view>toolbars. I can't see any endnote menus under "tools" in word. I can add citations to word documents from the CWYW toolbar in endnote.   The endnote installer put the necessary files in the word startup folder, and I also tried doing it manually too, with no difference. I have tried reinstalling both word and endnote. It makes no difference. I was also mindful of the order of running applications after installation, so as the website says, I ran endnote firt with an open library, and then opened word.   Nothing has helped - what now?? Would very much appreciate any  thoughts.

This is a very frustrating problem.  I used to be able to search for references using the "Connect" function on Endnote, collect references, and import selected references into my library.  Very recently (1 week), I was not longer able to get references into the "Pubmed at Medline" window that normally shows the references that you downloaded.  What's odd is the status window will say "downloading reference 1 of 3, 2 of 3.... etc." and when you look at the connection status window, there is data there.  There is a text file version of the references.  So data is coming in but not getting outputted into the right window for easy importing into the library.   Has anyone experienced this problem? I tried removing Endnote and reinstalling.  I've updated the connection and filter files.  Nothing seems to make it work anymore.   Help!   Roger

Hello,   I have imported a journal reference (RIS import) to my database. Unfortunately the journal title was written in uppercases. Here is the example:   Hout, M./ Brooks, C./ Manza, J. (1995): The Democratic Class Struggle in the United States, 1948-1992, in: AMERICAN SOCIOLOGICAL REVIEW, Vol. 60, S. 805-828   So I tried to change the journal title in "American Sociological Review" but the auto-suggestion is always in uppercases. So I type in the title completely as I want it and voila in the reference it  appears like "American Sociological Review", but in the preview window and in the bibliography it appears in uppercases again. I tried to delete and retype the reference because it is for now the only reference with these journal, but there is still the auto-suggestion for uppercases. Hope somebody can help me to fix the problem.   -Nick

It sounds as if your EndNote preferences are set to automatically add journal names  to the Journals Term list. If entries get into this list in the wrong case or as abbreviations: this is what you will be offered by autocomplete. It is easy to go to edit the Journals Term list, with your EndNote library open, go to Tools, then Open Term List and select Journals term list from the list of options. Find the entry you want to change, and with it highlighted click the "Edit Term ..." button, correct the entry in the full title box and then click OK to save changes. Occassionally OK will be grayed out, the easiest way to make it active is to put an abbreviation in the first abbreviate title box.

Hi!   Open your library    Go to the "Tools" meny and chose Open "Term Lists" and "Open Journals term List".    Find AMERICAN SOCIOLOGICAL REVIEW in the list.    If the journal name is in uppercases in the list, Click on the name (to select it) and chose "Edit term" (on the right side).   Change the name in the "Full Name" field from uppercases to lowercases and click OK and finish with "Close".   Does this solve the problem in the preview and in the bibliography?   Best wishes   Jan Ove   Jan Ove Rein, M.Sc. Hi, I am about to buy the software but want to transfer an all ready created library to new software (end note). So, I wonder whether it is possible Transfer a created library from one computer to another one that has also an endnote but ofcourse with a different licence number? thanks!

Hello,   EndNote libraries can be used on different computers.  If the library was created with EndNote 8 or higher, you need to transfer both the .enl file and the .Data folder for the library.  So if your library was called "Library" you would transfer the "Library.enl" file and "Library.Data" folder to the other computer.   Starting with EndNote X, you can simplify this by going to "File > Send To > Compressed Library" when you have the library open in EndNote.  This will create a single .enlx file.  You can then transfer just the .enlx file to the other computer.   Mac and Windows libraries are compatible with each other as they are in the same format.

At least some of these issues should be resolved by following the instructions on this FAQ:   http://endnote.com/support/faqs/import/faq15.asp   If you follow the steps there, are there still things that appear not to be importing, or are importing incorrectly?

Hello:   This is usually the hallmark of an outdated import filter. If you are using a version of EndNote that is X or earlier, you may want to download and install a new filter from here:    http://endnote.com/support/enfilters.asp   If you are using EndNote X1, however, you should have a fairly recent filter already installed. If it doesn't appear to be working, or if you've updated the filter already and are still having trouble, EndNote may be looking in the wrong place for its filters. Let's check:   - In EndNote, click Edit>Preferences (On a Mac, that'd be EndNote>Preferences) - Click Folder Locations - Click on the EndNote Defaults button and "Yes" if prompted. Then click OK (or Save and then close on the Mac). Try the import again.  Does that help?

Hello:   The "messy data" problem is usually caused by carriage returns in your library. The tab-delimited format interprets every place the "Enter" key was hit in your library as a break, and then it makes a new line.   EndNote X does have a way to strip these carriage returns out, however, this change is PERMANENT and may change your library formatting. We therefore suggest that you perform these steps only on a backup copy of your library.   1. Create a backup copy of your library by clicking File>Save a Copy 2. Close your current library and open the backup instead. 3. Click Edit>Change Text. 4. Make sure Any Field is selected in the pulldown. 5. Place your cursor in the Search For field and click the Insert Special button. Select Carriage Return. 6. Leave the Change Text To field blank.  7. Click Change.   Once that is done, try exporting the tab-delimited file from that copy of the library. It should import more cleanly.   The other method mentioned on this thread of exporting in RIS and then importing into a new library will often work as well, but many people find the solution I outlined above a little simpler. In either case, please be certain not to overwrite your original library.   I hope this helps!

Actually, the problem was resolved by doing a custom install in which I did not install the Palm components.  Endnote support admits there is a current bug with the latest palom software and vista which causes install problems.   Thanks! Glen
