It sounds to me as though you're typing citations into your Endnote
library manually; is that correct? Make sure you're putting authors'
names into the Author field of your Endnote citations one author per
line, with last name first.



Let me know if I'm understanding correctly what it is you're doing.

I am in the process of very belatedly moving from ProCite to EndNote.
Alas, the version of ProCite for Windows I have been using is 4.0.3. It
has performed excellently in WinXP Professional, but I now find that
these files will not transfer to EndNote: the transfer program seems to
require a more up-to-date version of PC.

With apologies for being such a late adopter, might there be any way in
which I can salvage my PC bibliographies into Endnote, one of over 8000
items?

The best thing to do - for many reasons - is to send a COPY of your
master document out for comment in which the EndNote field codes have
been removed. You can do this directly from the tool bar in EN X. Then
the Word 'comments' will insert in the correct place for you to
interpret easily.

I use Endnote for Mac, and no, have not noticed memory problems. Has
any Mac-user upgraded to X1 and found it ok? I've been very happy with
Endnote X but am severely tempted by the 'Groups' function Warren

I also use Endnote X1 on a Mac.

I'm running a black MacBook with 2 GB of RAM and Leopard. So far no
problems.

actually I found a solution.

When using the case sensitive file system, there seems to be a problem
with the aliases, which are created by the customizer. Using a copy of
the plug-in files in the startup folder solved the problem.

I'm not sure about using groups, but I personally don't see any value in
keeping references in separate libraries. For me there are too many
instances where a reference stradles the boundries between any set of
artificial groupings I might devise. This is a problem for me in
organizing my personal files (word processing, spreadsheet, etc.) on my
hard drive. I've tried to come up with a rational scheme of folders for
filing these documents, but in searching for them later, I often realize
that there are several folders in which the document might have
logically been placed. At least in Endnote, I never have that problem;
all the references are in one place and I just search for relevant
terms.

I was also wondering about this topic. Since my library is still small
(only 200 or so references) but growing, I have not separated references
into groups. I have relied largely on developing keywords that resonate
with me that will be easily identified when searching.

My challenge: I teach in an interdisciplinary program, so my references
cover fields across the social sciences and humanities (plus of course
my research interests). Apart from writing, a key task for me is
developing and revising course outlines. What strategies do list members
use?

related to each of those.

In the end, I've still stayed with separate files (libraries).

What is your organizational "style" or strategy?

Is the 'groups' feature best used for small sets of resources, but still
within separate files for each basic research collection?

This is why I use Copernic Desktop Search for finding my files on my hd
and using a soft structure for folders (and projects). So I don't have
to categorise the data and create artifical boundaries.

About organizing sources.
I, by contrast to those who have posted to this list recently, have
several libraries 'on the go" with duplications across them. My 'master'
EN library, served well for the first few years and now has about 6000
references. I started used additional EN libraries when I was needing to
carry the latest version to and from work (before jumpsticks increased
in memory size). I don't add the PDFs to the EN library yet but carry
them separately (and still carry hard copies often as well). When I
begin a new piece of writing, I commit to using only one EN library
(usually noting which one at the beginning of the draft), turn off the
other libraries when formatting so I have it all 'at hand'. I tend to
work with others who are not real EN experts, so I am often managing the
referencing tasks for the group. It is a bit of a mish-mash but works
well for me.

I am trying to get my CMYK to work in Word 2007 in VISTA. I had some
problems that kept causing Word to abort. I tried to uninstall Word and
EndNote, but they almost seem like viruses when trying to uninstall.
They leave all sorts of components behind. When I reinstalled Word and
EndNote, I no longer got EndNote X1 to show up as a separate tab. I can
execute EndNote separately - even after I tried to uninstall it -
EndNote started like nothing happened.

The normal remove program fails. The reinstall aborts. The update
software fails. The repair software aborts. I am trying to do a clean
uninstall with Vista of EndNote X1 and also remove any traces of it in
Word 2007. Any suggestions?

I have the same problem but I am using MS Word 2007: Also can someone
help me with the CWYW = Cite While You Write feature on EN. I can't seem
to get t to work in MS Word 2007. It won't even show up on the tool bar.
I tried the patches and downloads and they did not work..Please Help!

Current EndNote will NOT work with Word 2008. I have called and emailed
EndNote support a few times about this and received the usual we are
aware, working on it, and have no estimated release date to provide yet.
They explained that the main problem is that the new Word does not use
Basic anymore and all of the EndNote functionality connected to Word ran
through Basic.

They said that they will likely announce a fix on this list and provided
the following URL about this issue:

Working on unformatted versions and formatting through rtfs (via the
Tools- Format Paper command) as in the old days will work (and
formatting will be extremely fast) but will bring back the old problems
of having to be careful about never editing the formatted version, just
edit the unformatted version and reformat each time.

I don't understand why they can't even estimate a release for a fix and
why they haven't brought up the issue here. It would be useful to know,
even if it isn't an absolute locked date, so that people can make plans.
I don't see any down side to that unless the date is a long way off, but
I think that the EndNote people have generally been on top of these
things.

It is good that you raised it on the list since it may affect when
people might want to upgrade office.

Dear Fred,

There appears to be an error in the APA 5th output style for the
"Electronic Article" reference type in EndNote X1 .

The output style includes the name of the journal using the wrong field
name, ie. 'Journal'. But the "Electronic Article" reference type has the
name of the journal in the 'Periodical title' field. The incorrect field
name was probably a cut and paste from the "Journal article" template,
which does use the 'Journal' field for the name of a journal.

You will probably find that all the references you create using the
"Electronic Article" reference type will appear in the APA 5th output
style with the single word Journal in place of the journal name.

You can fix this problem by editing the APA 5th output style template
for "Electronic Article", replacing 'Journal' with the 'Periodical
title' field.

Aside from this error, the recommended treatment of electronic
reproductions in this updated APA 5th output style in EN X1 is a
positive improvement, ie. adding the phrase 'Electronic version' in the
article type field un the "Journal Article" reference type is a simple
solution. Particularly if you download records from databases - it is
then simple to add this text to the article type field.

The APA v5 guide (section 4.16, item 72, on page 272) specifies the
following as the correct citation for an article in an Internet-only
journal:

Frederickson, B.L. (2000, March 7). Cultivating positive emotions to
optimize health and well-being. Prevention & Treatment, 3, Article
0001a. Retrieved November 20, 2000, from
http://journals.apa.org/prevention/volume3/pre0030001a.html.

I am using the Endnote provided APA 5th style.

The only way I can (I think) achieve this is using the "Electronic
Article" format instead of "Journal Article" format in EndNote X1. But
it isn't perfect, and that's where I need your help to get it right.
When I use the "Electronic Article" Reference Type format, I don't get
the date retrieved, and I only get the first word of the journal name.
Everything else appears to be ok.

Would appreciate input and suggestions to fix this.

is there anyway to easily distinguish answers from the questions....ie
blue vs black?
it is frustrating to read something only to realize it is a question (or
too often, a repeat of a question), and not the answer itself.

When I tried the EMBO style, I did not get hanging indent even though it
was set to .3 in the layout. I checked the style and edited it changing
the Hanging Indent dropdown to All Paragraphs. Then it works perfectly

While formatting the bibliography, I select "Hanging Indent" in the
Layout tab of the "EndNote X1 Format Bibliography" popup.
The hanging indent is currently set at 3 cm, it shoulde be really
visible, but no indent appears.
The Style is set to "Hanging indent: All paragraphs but first" in the
layout tab of the Bibliography item in the Style determination.

I bought a new vista ultimate installed laptop in April 2007 with Word
2007 and was never, ever able to use endnote X or X1 within word 2007.
No endnote toolbar in word, endless 'permission' violations, unable to
directly import references, you name it. The fixes listed on the
Endnote support site didn't 'fix'. Months of e-mail tag with Endnote in
Australia and US made no difference. After Vista died an undignified
'black screen' death, in January this year, I returned the laptop to the
company who fixed it and installed old faithful XP Pro. Since then, not
a single glitch with Endnote
X1 (or any other of my numerous installed programmes either for that
matter).

Moral of the story, I should have listened to the wiser sages who said
never by a new 'whiz-bang' untested OS and then use it with software
that says 'Vista Ready'. Yeah, right!

Get rid of vista and start getting some work done on your computer. :-)

Further to Philip's warning, it gets even more complicated if you use
Dragon naturally Speaking voice recognition software. I use all of these
programs and new conflicts arise. Dragon works well with Endnote, but if
Word is open as well, problems ensue...

Rather than using the Endnote "Remove field codes" command, I find it
much better to use the built-in Word version. Before doing anything,
save a separate copy of the document so you still have the one with
Endnote codes.
Then select-all (control-A), and press control-shift-F9. This should
remove the field codes without altering formatting.

One word of warning, though: this will strip ALL field codes from the
document (except those in headers / footers - you'd need to select them
separately), including cross-references, figure capture codes,
bookmarks, etc., so if you want to only remove Endnote codes you'd need
to select just those (e.g. just the bibliography, though you'd be left
with the in-text codes).

I'm looking for advice on how to enter government author names.



For example, I am trying to cite a 2003 report by Canada's Department of
Foreign Affairs and International Trade.

Place a comma at the end of Canada's Department of Foreign Affairs and
International Trade, (no period) you can also specify full author names



I would like the citation in my text simply to read (Canada, 2003).
However, in my bibliography, I would like the full corporate authorship
noted (including the department).





If I enter "Canada. Department of Foreign Affairs and International
Trade," in the author field, then I get (Canada. Department of Foreign
Affairs and International Trade, 2003) in my text.



Is there a way for me to get the shorter Canada citation? Do I need to
enter "Department of Foreign Affairs and International Trade" in another
field?

Somebody who knows more about Word than I do may be able to suggest a
better solution to this problem, but the advice that I normally give is
as follows:

Select (highlight) all of the bibliography (or the in-text citations),
in the same way as you would select any passage of text in a Word
document.

Simultaneously hold down the Ctrl, Shift and F9 keys.

This will remove the field codes from that portion of the document only.
It should not affect the field codes elsewhere. However I would suggest
making a copy of the document first, and testing this.

I'm not sure if I have the best work around for this problem - but it works!

Go into the biobliography template for the output style that you are using. Change the template for Report to read 'Alternate title' (or some other unused field) where you would usually have 'Author'.
For example, my template for reports reads:

Alternate Title (Year). Title|. Series Title|, Series Editor|, Institution|, City|.

Put the full corporate authorship into the 'Alternate title' field, and the citation you would like in your text in the 'Author'.
Now your citation will read as specified in the 'Author' field, but your bibliography will have the full corporate authorship.

If you have reports written by single authors, you will need to put the required biblography style into the 'Alternate title' field.
For example
Author field: John Smith
Alternate title: Smith, J (Or Smith, J. etc - whatever matches your output style)

It's a little clumsy - you'll have to change the report bibliography template for every output style you want to use, and alter the author name in the 'Alternate title' field to match the output style.
If anyone has a more elegant solution I'd love to hear about it...

I am using Endnote X1 on a Mac running 10.4.11 and trying to use the
APA5th.ens style. although the citation style format looks right in the
style manager, it inevitably inputs the citation without the requisite
comma after the author's name. when I edit the citation, I fix it only
to lose it again after Endnote reformats the biblio. I think this a
known issue, but what is the fix? is there an archive of past issues and
answers I can access?

that I believe are relevant to something, and I wouldn't want items
added just because someone else coded them with particular keywords.
I just want to second this point, so that it doesn't get lost in this
complex discussion: user-defined groups are important, and currently not
well implemented in Endnote. (just hoping this makes it to the
developers' ears).

I'm not an expert but will give it my best shot.

The first thing is if you have Endnote X1 then you can go to the programs in the start menu and click on configure endnote.

(Make sure endnote and Word are not open)
Yay! this might have worked

2nd. If this does not work. Open Microsoft Office 2007 (does not work yet with 2008).
Click on the meatball at the upper left corner of the screen (microsoft calls it something canneverremember what but it looks like a meatball)
Go to Word Options
Go to Com Add-ins
Make sure that Cite while you write is checked.
You may have to click out of Word and go back into it, go back to the com add in after you reopen Word and make sure it is still checked if so exit it and close Word. Even though this should work now, I always like to go back and click on the "configure endnote"

You should be set.

If this does not work make sure word is enabled for third party add ins, you can check your security settings. But I find the easiest thing to do is to go to Sun systems and install the ODF add-in, I installed a german one so I don't think it matters.(mine is called ODF Add-in FÜr Word 2007) Then word will get annoyed when it opens and say some things to you, no worries just click on the links and install the plug in they have to let you use the ODF plug in.

Hopefully you didn't have to get that far, but it is nice to know you can open up openoffice docs in Word (thanks Sun).

Here's what I really want to do: I want to be able to find a way to
automate reconciling different author name variants - without having to
do a search for every author name, and making corrections manually in
each citation. Remember that APA appends the initials in in-text
citations if CWYW cannot detect that two authors are actually the same
one. I have almost 2000 citations in my main library, and this aspect of
it is becoming cumbersome.

Not a professional suggestion but could be right.
What you need to do is to increase the size of your RAM memory and
update your CPU.

I have been investigating ways to bring the PMC ID into EndNote. Zotero
will grab the PMCID, but it puts it into a field labelled "Extras".
Unfortunately the "Extras" field is not included in a RIS or Refer
export from Zotero.

I have done exactly what you suggest - added a custom field to Journal
article references type and then modified an output style modeled on the
examples on the NIH FAQ.

Barbara,

I'm not sure this would work with your workflow, but since you are
willing to place references at the end, have you considered using the
Subject Bibliography feature of EndNote? Enter the Chapter name or
heading you want to use for the end bibliography in the Label field of
each record. Use the Label field as your only subject. You can format
entries in a variety of ways.

In response to your question.

With Word open either click on Tools format/ bibliography in Endnote or
else in Word click on format bibliography (2003) or on the Bibliography
arrow under Endnote in Word 2007 go to layout and select single space.
you can now update your bibliography in Word 2007 and this should
reflect the change.

If you corrected a bib reference by adding a new one, and are wondering
why the bib record is still the old one, then you can edit a reference
in Word (Endnote icons) and delete the old reference and insert the new
reference. This will indicate the new reference to be used. The reason
it needs to be done this way instead of just editing in on the page is
because of the code underneath. Editing within the edit window of
Endnote inside of word (using the icons) will change the code
underneath.

There is more to this, as if you still are getting double spacing then
it could be the Word Template, settings inside of Word, or settings for
a font set you are using and more.

if you want et. al to show then add it as a name with a comma at the
end. I am not familiar with the Chemistry citations so not sure if this
is relevant to your question.

What I wish is that each type of reference that they have (Statute,
Journal etc) had accurate fields that need to be imported for a specific
style such as APA 5th. Then I could make sure I have the right fields
with the right data instead of changing things around until it looks
correct to the style.

In regards to Endnote 9 and Zotero intercept RIS:

Try saving RIS to hard drive or flash drive and then open it up in
Notepad and save as UT-8 then right click and have Endnote or import
helper import it.

Trick:
In regards to Links: if your file path changes your links could change.
I know this would happen in PageMaker, what I did for PM was to create
a separate notepad txt file with the file name of your library.enl as
well as where the path and folder of the link is as you are linking. I
used to do this with PageMaker so that I could recreate a path that
would read links. I know you can embed the pdfs if you aren't
interested in editing the file itself. It was important to do with PM
also if I was sharing it, that way the fonts etc. would import also.

Is there a webinair or better guide for understanding import filters?

I wish Endnote could hijack Refman references when that is the only
choice a DB gives.

Zotero export as ris
If you have foreign characters then open it in notepad and save as UTF-8
import into Endnote using web import helper or import using
ReferenceManager.ris import.

When possible it is better to export directly to endnote, in my opinion,
I wish endnote had a portable app that I could run off my flash drive.

Subject: Issue with periods stripped from end of abstracts

RIS Import filters that come with RefMan strip the periods from the ends
of abstracts.

This is true of both recent versions of "RIS.cap" and "RIS Format (Add
Periods).cap" downloaded from RefMan site.

Tinkering I've done with Filter Editor has not been successful.

Anyone figure out fix for this Import Filter problem?

Folks

This is my first posting to the list.

I was wondering if anyone had used Zotero - the add-in for the Firefox
browser - with EndNote.

I've been using Zotero extensively over the last few months but I've
been putting off trying to export references (of which I have the better
part of a thousand) from Zotero into EndNote. Does anyone have
experience of this job or could point me to a site with explanations?

I have the regular version of Endnote, although I have used the web
version....So am giving info on the reg version. Make sure that CWYW is
installed. Make sure that CWYW is enabled in Word. If you have a
start/programs/endnote/configure then click configure.
For 2003 make sure that the Endnote preferences in CWYW are set for
Endnote web.

Subject: EndNote Web CWYW problem

Can anyone help with a problem that some of our students are having
using Find Citation in the EndNote Web plug-in for Word 2003. Although
they have no problem accessing their EndNote Web library from their home
computers via a browser, some of them (but not all) find that they can't
search their library using the Find Citation command from inside Word.
They have no problem doing so on University networked PCs, it's just
some of them can't do it off-campus. The problem doesn't seem to be
limited to a particular Windows or Word version, or to a particular ISP.
The only glimmer of hope is that someone reported that he's solved the
problem by altering his firewall settings so that Word has full access
to the internet. But most of them are just using the Windows XP firewall
with its default settings which appears to list Word as an exception.

Any suggestions? Otherwise EndNote Web is brilliant and the students
love it...

Exporting individual refs from Zotero into Endnote. I am not sure you
can do this. Before I became more familiar with Endnote, I used to
delete as I go. An option would be to export to an Endnote library you
could call Zotero. Then do it again and call the next library
Yourchoice(Y1). Delete all the references you don't want from the Y1
enl and when you export/import again use the Z library and import
discarding duplicates, the imported records you can copy into whichever
library you want.

Keeping in mind this is an Endnote help list

Mike;

The procedure is described in the "Help" section under "Sharing Your
Reference Type Table." I've done it successfully several times. For
your own migration purposes, it doesn't matter that it overwrites
existing (default) preferences, but it's good to remember to rename the
existing preferences if you're collaborating with someone!

I am moving Endnote X1.0.1 to a new computer (both are Windows XP), but
I can't figure out how to move my preferences. I recall in the past
having to move a particular file from the old to the new computer, but I
can't find anything like that in the manual. I moved my Endnote files
and the custom styles I use without any problem.
