End Note Q's
Author:    Posted: Thu, 14 Jul 2005 18:56:27 -0400
Greetings,

My name is Bart Bruehler a Ph.D. student at Emory University, and this is my first time on the Endnote listserv. I am currently using Endnote on my dissertation with SBL (Society of Biblical Literature) style, which is not on the Endnote list but derived from Chicago 14a. I was led here by two specific questions.

1. The chapters of my dissertation are in separate files. The standards of SBL style require that if a source has been cited in a previous chapter the citation in the later chapter should be in short form. However, because each new chapter is a separate file, the first citation of any source is always given in full form, which I do not want if I have cited the full form in a previous chapter/file. Does anyone know how to force Endnote to use only the short form of a citation in a new file?

2. In some cases I need an entry to be capitalized in the bibliography but lowercase in the footnotes. For example, with a revised edition, I need "rev. ed." to follow the semicolon in the footnote, but "Rev. ed." to follow the period in the bibliography. Does anyone know how to set capitalization for this type of field? I have found capitalization settings for authors and titles but nothing else.

Thank you for any assistance.

Bart

Hi Bart!

I also use SBL format for my PhD thesis. It is trickier than most other
styles since it's quite complex. I created my own style file based on what
others on this list had kindly sent me. For your question 2, my solution is
to have two separate fields for the edition, one for fn, the other for the
biblio. Then you enter the edition into each field with the appropriate
capitalization. I find that capitalization features in EN to be worthless
when you're dealing with multiple languages with different capitalization
rules and special abbreviation. Turn the cap features off and always enter
texts in the case you want.

For question 1. It depends if you'll keep the field codes or will you
remove them (e.g. for manual editing purposes). If you keep the codes, then
by the time you're ready to print out your complete dissertation, you can
put all your chapters into one big file and reformat the bibliography. For
me, I work with one big (and growing bigger) word document. When I want to
sent a chapter to someone, I print the appropriate pages to a pdf file
and/or copy and paste the pages to a new document. I also archive older
versions of the master document just in case I mess up. In any case, I
expect I'd have to go through the whole thesis at the end to clean up my
footnotes and bibliography. With the complexity of the SBL style and the
PhD project, I don't think EN can be trusted with perfect formatting without
human checking. I'm still experimenting with what is to best way to manage
my document. So this may not turn out to be the best way. I welcome any
suggestions by others.

Bye!
Marcus

At some point, will you merge the chapters? I assume you will. When you do this, the references will show up the way you want them. Not sure why you have each chapter as a file. If you use headings and table of contents in Word, you could work with your full dissertation in one document...

In order to get Chicago to function like SBL expects, you will need to
modify the style template. In Endnote 5 this involves going to the Style
Manager and then hitting edit. Creating an entirely new style is
complicated.

MS Word does not always work reliably with long and master documents -
hence it's good advice to create each chapter separately and then combine
them into one document down the line without using master and sub-docs.
It's too much of a risk to take with a doctoral thesis.
