I want a reference to read:

(Statistics New Zealand [SNZ], 2001)

Endnote, using the suffix function does this:

(Statistics New Zealand, [SNZ], 2001)

How can I get rid of the comma after Zealand?

1. Set your output style to order the bibliographic entries (you need to
choose "other" or "custom"... I forget what the entry is, and I don't
have EN
here) by
Author and Year and leave the rest blank.
2. Ensure that the "author" fields in both references are identical.
3. Ensure that the "year" fields in both references are identical.

Hi

How can I insert smart quotation marks into reference entries in EndNote
X?

My document uses smart quotation marks, and the only place where
'straight' single and double quotation marks appears is in EndNote
generated references.

abbreviated format. I have tried several times but the journal name is
never a ful name. can anyone help?

You will never get the full name from Pubmed.

I'm also interested to know if there's an answer to Michael's question.
I use EndNote 9.

I am envisioning and dreading having to do a search and replace
operation on the finished document, for I have lots of interview data
excerpts in my thesis, and situations like the use of " 'cause " as an
abbreviation for "because" will end up with the wrong smart quote.

This tells how to get the full journal name rather than the abbreviated
on that PubMed gives. I can't get into Netapps/EN to change the import
filter. Do you want to fix it or do you want to give me access? I've
changed the one on my C drive.

If your word processor is Word you can select smart quotes
(Tools/AutoCorrect/AutoFormat As You Type) and then do Replace All of "
to " (or ' to ').

Surely the easiest way to remove field codes from a formatted document
is to use the 'Remove Field Codes' command in the EndNote toolbar? This
command creates an new unsaved version of the relevant document with
Field Codes removed, while leaving the original open and untouched.

With "use smart quotes" turned on in word, after you do your final
reformat (and remove field codes), press ctrl+H (replace), and type " in
both the [find what] and [replace with] boxes.

Word will then automatically replace all straight quotes with smart
quotes.

Otherwise, edit your output style, and use "smart quotes" (use Alt+0147,
Alt+0148 using the number pad) in the relevant templates.

Hi Nongyao,

These are my answers to your questions:
1) I do not have experience in using EndNote 8. But I did not encounter
that problem with EndNote X.
Not sure whether this works, but you may wish to patch it to the latest
update (v.8.0.2) by going to the EndNote website.

2) The spacing between the numbering and the actual text in 'Numbered'
is determined by a Tab.
To change it, go to 'Edit output style'. Under the 'Bibliography'
submenu, go to 'Layout'.
This will determine the appearance of citations in your bibliography.

Hi Sameer,

I think this limit is imposed by your OS (255 character for XP or Mac OS
X).
You could choose to shorten the directory name where your files are
located.

Hi Andre,
Its not from the OS because I am able to name the PDF properly (try this
filename Readability Standards for Informed Consent Forms as Compared
with Actual Readability.pdf). And Windows XP and Adobe Acrobat is not
giving any error, the error is from Endnote.

While tinyurl and digbig could certainly shorten the URLs in question,
there is a even greater risk than just those businesses closing. Using
a URL that doesn't link to the actual source page is exactly what a
phishing attacker does. While I do not think that either tinyurl or
digbig are doing phishing attacks, the security community is trying to
train people to NOT click on links that go somewhere you know. Using
tinyurl is simply training people not to pay attention to the URLs.
Furthermore, you don't ahead of time where the tinyurl or digbig
actually leads. While I firmly believe that the managament of the two
companies are NOT doing anything evil, a real phisher could create a
tinyurl link that lead to someplace nefarious.

So I must repeat my original question. Is there anyway to convince Word
to break a URL at a selected place without inserting a hyphen? I know
how to do this in LaTeX/BibTeX. My question is whether it can be done
in Word?
(Yes - I know that converting the document to LaTeX would solve the
problem.
In this particular case, I'ld rather not do that.) Thanks!!

A find and replace function is already available in EndNote from at
least version 7, using the Edit > Change Text command, and then
specifying particular fields or 'Any Fields'. There are options for
'match case', 'match words' and capitalization.

The capacity to find a key word in a particular record is already
available by:
1) Open the record and
2) Click References > Go To, and type the search term into the box.
3) Click 'Next' and the program highlights the successive occurences of
the term one by one.

Not as good as a pdf search, but better than nothing.

I asked the question in the Firefow user group and was told that you
can't manually create an entry in the file type manager. I now download
through right clicking and using a download manager that lets me define
where I want to get the downloaded file. The disadvantage: I have to
import reference by reference.

But when I use the standard method: clicking on a link that allows to
download an endnote reference, for instance in Google Scholar, I don't
see where the downloaded file gets saved. It's a pity.
Any ideas ?

AVOIDING DUPLICATE DOWNLOADS

Jim Seward's post raises a wider issues about managing downloads. It's
good practice never to download ANYTHING into your main library. Use a
temporay EN library file, then open, check and clean this up before
adding to your main library. Downloads invariably go wrong from time to
time and dump 'data' in fields where they are invariably not noticed
until the time you want to do something urgently and find import field
codes added to author lists, buried midway through an abstract or
wherever... It's always somewhere you cannot clean up easily in a big
library! Only import stuff you are confident is relevant and clean.

This is quite in addition to the duplicate problem, but also helps
there.
Use the EN import function. In EN X Win this is (File/Import/Import Data
File/Choose File). Choose your newly cleaned, temporary EN download
file.
Check the file type as EN Library (default)and click on Discard
Duplicates (not default - on drop down liST). Unless you have a special
reason (unlikely), make sure that Text Translation is set to the defult
of No Translation. Hit Import. Job done.

All this takes far longer to write / read than to do.

Greetings all,
The best way to avoid duplicate references is with the command
"References > Find Duplicates". This command will display all duplicated
references with the most recent copy or copies highlighted and ready to
delete.

With a bit of creativity it is possible to use this command to find
duplicate references across multiple libraries.

hi,

i am currently experimenting with the figures and tables function in
endnote x. can anyone show me how to automatically update your figures
and tables if they've been changed in the link file. a quick example may
be in order. for instance, you decided to remove fullstops after each
table or figure captions which you can do in the tables/figures
preferences. how do you get endnote to automatically reformat all your
figures and tables to follow the changes? what i have been doing is to
re-insert each one. this, as you may imagine, is tedious. there must be
a better way of doing this. i tried updating fields but it doesn't work.
i tried updating links it doesn't work either.

any help is appreciated.

in-text citations that link to it? Do they automatically revert to the

The best way to avoid duplicate references is with the command
"References > Find Duplicates". This command will display all duplicated
references with the most recent copy or copies highlighted and ready to
delete.

With a bit of creativity it is possible to use this command to find
duplicate references across multiple libraries.

If more than one copy of a reference has been cited in a document, and
then one of the copies is deleted from the EndNote library, the Format
Bibliography function will not automatically make the correction, but
will throw up the "Select Matching Reference" window at every point in
the document where the deleted copy of the reference has been cited. The
best way I have found to deal with the problem is as follows:

1) Save a back-up copy of the document 'just in case'
2) Unformat citations
2) Click "Format Bibliography"
3) When the "Select Matching Reference" window appears, close that
window (not the document) and return to the EndNote library to find the
remaining copy of the reference. (If necessary, return to the backed-up
copy of the document to check that the correct reference has been
found.)
4) Return to the document, delete the faulty citation and insert the
correct citation.
5) Repeated occurences of the incorrect citation can be dealt with in
the same way, or by using Word's 'Find and Replace' command.

Please be more specific. Repeating your earlier post does not make it
easier for list members to help if you don't provide additional
information. How exactly do you edit the references? Do you delete the
author's name in Word or do you go through EndNote's "Edit citation(s)"
menu? What do you mean by "it won't let me eliminate the same author for
the second year"? How does this refusal to eliminate the author manifest
itself?

One quick fix would be to remove the field codes and edit the citations
manually, so that you have a properly formatted proposal.
