I believe I found the problem. I didn't realize one must check the "Use for Cite While you Write" option on the shared library, "Organize -> Others' groups" screen for EndNote Web.   This information shows up around 4:19 into that video you mentioned. I believe this solves my problem.

Many thanks Jason. I have imported her reference manager database into Endnote. I also read the instruction on Converting a Reference Manager Word document to be used in EndNote , the problem is, I don't know where the 'Output Styles folder' is and I cannot find the output style "RefMan to EndNote.os" to start with. Are you sure you have Reference Manager installed on your computer, with the RefMan CWYW tools loading into Word?  You need to have Reference Manager installed and functional -- just having EndNote isn't enough.

There are likely spaces between each of the in-text citations making EndNote not see them as continuous. Simply remove these spaces and update and they should merge into one - separated by semi-colons (depending on the details of the formatting style you are using). See the attached screen shot showing EndNote version X4 in Word 2007.   I hope this helps.   Jason Rollins, the EndNote team

If you are talking about what I think you are talking about, it is possible to edit the output style you use so that it's using the short form for repeated consecutive citations instead of the ibid.   1) In EndNote go to "Edit > Output Styles > Open Style Manager. 2) Double click on the style you wish to edit. 3) Expand the Footnotes section. 4) Choose Repeated Citations. 5) On the right are the settings for Repeated consecutive citations and sources. Set these as needed. 6) Go to File / Save As and save the file under a new name. 7) Close the style so you are back to your library. 8) Format your bibliography using the newly created style.   Hope that helps!

If you are asking "Does EndNote know when a repeated citation will appear on a different page in a Word document and thus be formatted differently than other repeated citations?" No - EndNote does not specifically know this.   However, I am not familiar with style formatting guidelines that specifically call for this. The Chicago Manual of Style (on which many other footnotes styles are at least partially based) says if "a citation...from the same source close to the first use ibid." 15th edition[Sec 11.74].   Regardless, if you are about to start a project that requires footnote formatting it would be worth looking at version X4. We have added many new enhancements to footnote formatting support - including some changes to "ibid" and "short forms" of citations. So, some of these changes will very likely make you work easier.   I hope this helps.   Jason Rollins, the EndNote team

That's controlled by the style you're using (sounds as if it may be the "numbered" style).   You should be able to change it by switching to a different output style (do Edit > Output Styles > Open Style manager to see all the possibilities) or by editing the current style.   To edit the current style do Edit > Output Styles > Edit "numbered"   Click "citations" in the menu on the left and change the parentheses from square brackets to rounded ones.   Save the file and close it.

If you review the list of words in each of the four files (ssceam.tlx, correct.tlx, accent.tlx, userdic.tlx), "music" is not included so that's why the spell check gives the impression it's not working.  Moreover, the list of words in each of the files is very small and by no means comprehensive so you'll need to add words to build-up the dictionaries.  (Since the dictionary file formats incorporate a .tlx extension, this precludes adding the MS Word dicionary file which is based on an entirely different .DIC file format).   Like you, I wasn't able to add a new word to any of the four .tlx files and could do so only if changing a pre-existing word in the dictionary (not useful at all).  Maybe contact tech support on the issue (link below) or maybe one of the EndNote reps patrolling the forum might help:   http://www.endnote.com/support/entechform.asp   I created my own dictionary by copying and renaming one of the .tlx files. While it's annoying to build up the word list from scratch (and pre-scanning for possible misspellings beforehand), the resulting dictionary is tailored to my specific terminology.

You can re-size the Author field in the EndNote library view to just display what you want to see. But otherwise, no, there are just the two choices - the Last Name of the First Author or everything in the Author Field.   Jason Rollins, the EndNote team

UPDATE   Here's a workaround to saving words in the EndNote dictionary file (.tlx) 1. Copy whatever .tlx files you want to use  from the "Spell" folder to your desktop (for this example will use: scceam.tlx). 2. Rename each file (for example: ssceamCopy2.tlx). 3. Copy the renamed file(s) back into the Spell Folder. 4. Open EndNote's Preferences, Spellcheck, Dictionaries, remove the original file (scceam.tlx) then ADD the renamed file (scceamCopy2.tlx). 5. The renamed file now enables spell-checking and adding new words.   Also, you can incorporate Microsoft Word's custom dictionary after all.  Just locate the file (Custom.dic), then open it in notepad, then save it as a text file.  You can then import the text file into EndNote's dictionary.  You can also import other lists of words, they just need to be in a text file format.

In order to have different formats for an author's first and last name, you'll need to treat them as separate fields and manually adjust them within each reference. EndNote treats author names as a single field so formatting options affect the entire name field.  Selective formatting of the first and second name is not available.   EndNote treats author names as one single field but  modifying the available "custom" fields within each reference type to hold first name and last name information may present a workaround.  Once the customized fields are added to the assorted reference type templates (e.g., journal article, book, book section), you will need to manually enter the name information in the desired format (full first name in the first name field, capitalized last name in the last name field).    Besides adjusting the reference type templates to accommodate the customized first/last name fields, the output style will need to be adjusted as well.

Hmmm   I think this is not a practical solution, especially if you have a large number of references to treat. Doing some experimentation, I noticed that if I put the author's full name as usual, manually capitalizing the surname , and using the "Capitalization - As Is" and "Initials - Full Name", I get the desired output. Note that this only worked if I manually capitalize the surname of the author when inserting the reference.   The action to capitalize only the surname of the author is a bit annoying and troublesome, always considering the large number of references and authors on a work, because there is not exist a formatting tool that does this in EndNote automatically - for example, a button to capitalize a whole word, as exist to turn bold or italic or underlined.    May be a new "Name Format" option or a new "capitalize" tool could be considered for a next EndNote version, since this bibliographic format is is widely used in legal texts and books in Brazil, and fully compatible with ABNT Bibliographic Norm.   Thanks   Valter - Brazil

I am forever amazed at the variety that publishers can come up with.  It is as if they say, gee what does current software do automatically and how can I adjust our requirements to make it difficult for them!    In my experience, Journals that have these kind of requirements, also have an inhouse software solution to convert an author supplied manuscript to conform with their inhouse style. You may want to enquire about that.

I agree.   In this case, however, it is not a "journal" or a specific publisher requirement, but a "general rule" between the authors of legal text in Brazil. The bibliographic formatting discussed in this topic is used in books, articles, web sites, independent publication and more.   This kind of formatting is also a "standard" by our national standardization authority, called ABNT, and MUST be followed in works like university dissertation and thesis.   Valter - Brazil

Thank you Leanne.   I did what the FAQ suggested (including the greyed out bit). However, the add-in still appears in the Word 2007 toolbar. I cannot remove it even if I selectively disable the .dot and .dotm files pertaining to the Endnote Web startup.

I stumbled upon this solution. It seems that there should be no Endnote files in the Word 2007 startup folder for ver X4. Its only if one needs the Endnote Web toolbar that those entries are necessary.

I have the same issue. I am struggling to update my bibliography in Pages 09. In MS Word, there was something like 'update active field' and it updated immediately all the changes that I made in Endnote library. I cannot find this function in Pages. I have to delete the citation and insert it again to update it. This is extremely inconvenient. If anybody knows a more intelligent way to update bibliography, please let me know. Thank you. Although the Online Multimedia reference type and corresponding output style may not conform to citing a DVD, you could modify both (reference and output style) so they do include the "missing" fields (e.g., city, state) and italics.  Or you could create a "CD/DVD" reference type using one of the three unused reference templates.  Once the template is made it's just a matter of creating the corresponding output style.

To better illustrate my prior message, here's what you could do.   Begin by modifying the Online Multimedia reference type template: 1. Go to the EndNote toolbar, select EDIT, PREFERENCES.   2. [See Image1]  In the "Preferences" window, click to select REFERENCES TYPES. In the right column, click the MODIFY REFERENCE TYPES button.   3. [Cont. Image1]. Click the "Reference Type" pull down menu to select ONLINE MULTIMEDIA.  Then manually type-in the word Location adjacent to the "Place Published" field.  ("Location" will hold infomation on city and state.)  Click OK to close the Online Multimedia refererence type, then click OK again to exit out.   Next, modify the output style template: (You don't mention the style you're using so this example is based on APA 6th) 1. Go to the EndNote toolbar, select EDIT, OUTPUT STYLES, EDIT [Name of output style].  This will display the output style's options.   2. [See Image2]. In the left column, locate "Bibliography" then just below click to select TEMPLATES.  Click the "Reference Types" pull-down menu to select ONLINE MULTIMEDIA.    3. [Cont. Image2]. Modify the Online Multimedia template to include the "Location" field as shown. Then close the window when completed. You will be prompted to save the file - note that the file name includes the word "Copy" so as not to overwrite the original file.  If you elect to save it as a copy, remember to change the output style selection in both EndNote and Word to that file (e.g., "APA 6th Copy" otherwise the changes will not be displayed in the EndNote library.   *Note:  Although the Title field could be italicized, doing so would result in a global change - meaning the tiles for all Online Multimedia references would be italicized. So to enable italicizing your reference entry, suggest you move the information to the Series Title field as a workaround.  If you wish to have the Title field italicized, you could create a custom field to accommodate this entry or if you anticipate having more DVDs, creating a separate "DVD" reference type and output style might be the way to go.   Image3 displays the sample reference entry.

I have followed Leanne's suggestion and noted that, unless (in EndNote Preferences | Display Fonts | General) you change the default Arial for Times New Roman, any curly quotation marks that you paste will be almost indistinguishable from the default.   I find it very strange that the programmers have not yet come up with an easy way of using typographical quotation marks instead of plain ASCII marks, which have gone out of practice years ago and have become a true sign of typographical amateurism. After all, Word (and other applications) automatically convert ASCII marks when you type them. Unless I am wrong, there is no way to achieve the desired result other than by painstakingly editing the output styles (and we know how difficult this is). You also have to make sure not to overwrite your file with an updated one, because all would have to be done anew.   Even though you can have EndNote type typographical quotation marks, you will have to convert ASCII apostrophes into real ones once in Word. And this will have to be done repeatedly (or only at the very end of your project), because generating the notes and bibliography will never produce the desired result automatically.   It would be so nice if EndNote offered a check box indicating that typographical quotation marks and apostrophes are desired. There should also be a way of entering typographical marks into the records themselves; this is often needed in the case of titles within titles.
