creating one bibliography when there are multiple files

creating one bibliography when there are multiple files
Author:    Posted: Mon, 4 Apr 2005 12:03:13 -0400 (
I am hoping for some advice regarding the following problem.

I have written a thesis in separate chapters (e.g 10) to avoid the problem
of one very large Word file. I want to avoid joining all these files but
have to create a single bibliography. Is there a way to create a single
bibliography without joining the files?

Any assistance with the above is appreciated (I routinely use v.3, though
can readily access v.4, and possibly a later version if a strategy is
version dependent).

regards

Bob Green

Use the outline/master document feature in Word. This is how I am
creating my thesis. I turn off the creation of the bibliography while I
write feature. This allows me to work with individual chapters without
generating chapter bibliographies. When I want to generate a
bibliography, I open the master file, expand the sub-documents, and
generate the bibliography. If I don't want to save the documents with
the expanded citations, I then close the file without saving.

This technique also allows me to generate the bibliography for an
individual chapter when I want to send the chapter and its bibliography
to my supervisor for review. Again, I don't bother saving the chapter
with the included bibliography.

I am finding that this is faster editing since there is no longer
immediate updates going on. I also edit in normal view rather than print
layout view as I discovered that the combination of Word repaginating
and EndNote formatting citations killed my machine. I now only use print
layout view when I want to check pagination boundaries for final
printing. I used to like seeing how the document would look as I worked.

creating one bibliography when there are multiple files
Author:    Posted: Tue, 5 Apr 2005 14:24:10 -0400 (
This is a low-tech solution that I have used for writing books going
back several versions of Endnote and Word. For several reasons (my
dislike for "CWYW;" problems noted in this listserve about conflicts
between Word master document and Endnote; my basic distrust of Word), I
am still using this method in my current book (Word 2000, Endnote 7):

Each chapter is a separate Word file, with its own bibliography during
writing of the book.

When I am ready to compile the master bibliography for the whole book, I
just create a single large temporary file by copying and pasting all of
the chapter text into the one file. Then I format that file to create
the bibiliography.

The drawback is that I must then make some edits by hand to individual
chapters to account for things like (Jones 2002a) and (Jones 2002b),
different works cited individually as (Jone 2002) in separate chapters.
Since I have fewer than 10 chapters and only a few hundred citations,
this is not a big deal. Preparing a Word document for publishers always
requires some hand editing of this sort anyway.

Hi Bob,

Before taking your bib outside of EndNote for sorting, there are some exceptions to consider. For example, do you have any prefixes in your bibliography? Here is a bibliographic record for a book review in MLA style that requires a prefix:

Rev. of Handy Guide to Sorting, by I. M. Sorter. Journal of Sorting Date: page.

Because EndNote sorts by author and title (or whatever sort sequence you choose) and regardless of where they end up in the final bibliographic record, EndNote will correctly sort by Handy and place this reference among the Hs.

However, if you move a bibliography containing this reference to a program with a column dependent sort function (spreadsheet or Word) it will incorrectly sort this item by "Rev. of", placing it among the Rs and instead of the Hs.

And consider this bibliographic reference for an anonymous article:

"The Background Sort." Journal of Sorting Date: page.

Because EndNote allows you to specify articles to ignore during sorting, such as The, A, An, it would correctly place this reference among the Bs in your bibliography. A column dependent sorter doesn't have this logic and would place it among the Ts.

Depending on your style guide, you may have other prefixes or exceptions to consider.

Good luck.
